Event and Conference Manager

Funnel Leasing Inc., is hiring for an Event and Conference Manager. As an Event and Conference Manager you will be responsible for ideating, planning, organizing, staffing, and running Funnel’s events and conferences calendar. An Ideal candidate would be equally comfortable conceptualizing differentiated ideas for major industry booths, providing high attention to detail and logistics, negotiating with vendors, keeping the right balance of branding incorporated, remaining cool under pressure when things don’t go as planned, and working to ensure we prioritize outreach to the most important prospective customers.

Industry events, and Funnel’s successful inaugural user conference (The Forum) provide roughly half of the company’s pipeline for the year and are crucial for the company’s revenue success. The major projects this person will own and be accountable for include:

  • 4 annual industry conferences with tradeshow/booth and VIP party presence

  • 1 annual user conference (The Forum)

  • 1 annual employee conference (Funnel Fest)

  • Supporting up to a dozen local apartment associations with account reps

  • 6 in-office events (BOD meetings, leadership offsites, VIP meetings)

  • Regional Lunch n Learn events

  • LinkedIn Live events + webinars

  • Virtual events for The Forum by Funnel LinkedIn group

This person will also extend the same high level of branding and quality in ensuring the Odessa, FL office is presentable as it often serves as a venue for leadership meetings, board of directors events, company-wide events and VIP sales or customer meetings. This role is Hybrid and will be required to travel to our Headquarters office located in Odessa, Florida 1-2 days a week. The hourly rate for this role falls within the range of $32.69 to $38.36 (equivalent to approximately $60,000 to $80,000 annually). This role reports to the VP Marketing & Growth.

The Event and Conference Manager essential roles and responsibilities include, but are not limited to the following:

Roles and responsibilities

  • Conceptualize compelling and differentiated booth designs (along with external booth vendors) for industry conferences

  • Work with the marketing team to prepare events calendar

  • Work with graphic design team to finalize promotional assets

  • Ideate and select swag and VIP gifts

  • Own all logistics around events

  • Work with HR to organize annual employee event (Funnel Fest)

  • Negotiate with vendors to ensure best deals on hotels, A/V, fees etc

  • Share pertinent event information with internal stakeholders (prepare overview decks, share attendee lists etc)

  • Keep Odessa office presentable and stocked with appropriate snacks and swag

  • Staffing the Odessa office up to 2 days/week to coordinate deliveries etc.

  • Shipping and swag ownership

    • Ensure pop up booths and swag are sent to hotels in relevant time

  • In-person event planning and execution (board meetings, client meetings, interviews)

  • Travel/serve as on-site point of contact for all industry conferences, Forum and Funnel Fest

    • Staff local events as needed

  • Conducts short and long-term planning and management for events and sales.

  • Works closely with sales to ensure the right attendees are contacted

  • Manage any registration sites and event landing pages

  • Develops and recommends budget, marketing plans, and objectives and manages within those approved plans.

  • Maintains or exceeds budgeted sales and profits in all event areas.

  • Recommends, develops, and implements effective marketing plans for generating event revenues.

  • Evaluates each piece of event business to ensure business can be properly serviced.

  • Assembles creative and innovative event attractions based on internal capabilities or outsources to qualified vendors.

  • Trains, supervises, and works with event staff, to solicit and book banquet and catering functions, as well as the planning, merchandising, and execution of the functions.

  • Leads Funnel event team (attendees) to build long-term, value-based customer relationships that enable achievement of sales objectives.

  • Administers all phases of the event department, including but not limited to sales, planning, marketing, servicing, and administrative procedures.

  • Coaches and counsels employees to reflect company service standards and procedures.

  • Stay up-to-date with industry trends, market dynamics, and buyer behavior to optimize event strategies.

  • Track and analyze ROI to improve event performance

  • Travel required approximately 20% of the time

Education, Work Experience, and Certifications

  • Hotel/Hospitality degree an asset

  • At least 2 years’ experience in a senior role in Event/Catering environment

  • 4 years or more of progressive event/catering management experience preferred

  • Proficient in Google Suite

  • Excellent interpersonal skills, ability to work cross-functionally, and build relationships with internal teams and external customers.

  • Excellent presentation skills, both virtual and in-person

  • Proven track record of developing and delivering effective events

  • Strong verbal communication skills.
