ROLE OVERVIEW ๐Ÿ“œ

As an Accountant Communication Specialist ๐Ÿ—ฃ, you'll be the primary email ๐Ÿ“ง touchpoint for our clients. Addressing their in-depth queries, offering tailored solutions, and liaising consistently with our in-house accounting team are crucial elements of this role.

  

RESPONSIBILITIES:๐Ÿ“Œ

Manage Client Email Communications  ๐Ÿ’Œ

  • Prioritize Client Emails: Organize and respond to emails based on urgency โณ and importance, ensuring that high-priority items are addressed quickly.

  • Clarity and Tone: Maintain a professional and friendly ๐Ÿค tone in all communications. Ensure that responses are clear and free from jargon, tailoring explanations to the client's understanding level.

  • Track Email Trends: Keep an eye ๐Ÿ‘€ on common queries or concerns to anticipate future needs or develop FAQs.

  • Feedback Loop: Regularly ask for feedback ๐Ÿ‘‚ on email communication quality and adjust strategies accordingly.

 

Fulfilling Client Requests ๐Ÿ“‹

  • Complete Accounting Task: Finish accounting tasks within 24 hours of email request โฐ or provide clients with an accurate timeline if needed.

  • Task Analysis: Break down client requests into actionable tasks โœ…, ensuring full understanding of the requirement.

  • Documentation: Keep detailed records ๐Ÿ“ of all tasks, ensuring transparency and traceability.

  • Follow-Up: Check in with the client after fulfilling a request to ensure satisfaction ๐Ÿ˜Š and address any concerns.

Document Client Interactions and Feedback ๐Ÿ“š

  • Maintain Records: Systematically record all client emails, noting date ๐Ÿ“†, query nature, and solution provided.

  • Feedback Compilation: Group and categorize feedback ๐Ÿ“ from clients to understand common themes and improvement areas.

  • Review and Analysis: Regularly analyze documented interactions to spot patterns or recurring issues ๐Ÿง.

  • Reporting: Create weekly reports ๐Ÿ“Š highlighting client interaction trends and feedback. Share insights with relevant departments.

  • Security and Confidentiality: Safeguard all client interactions ๐Ÿ”’, respecting confidentiality. Regularly back up data to avoid loss ๐Ÿ’ฝ.

  • Tools and Software Usage: Utilize Karbon and QuickBooks Online ๐Ÿ–ฅ for efficient management and task completion.

QUALIFICATIONS ๐ŸŽ“

  • 1+ years of experience in accounting and bookkeeping ๐Ÿงฎ

  • 1+ years with QuickBooks Online ๐Ÿ’ป
