Based in: Remote based in Los Angeles, CA

Reports to: Chief Executive Officer

Compensation: $70,000 - $80,000 + Benefits *Compensation is dependent on experience

Role Type: Full time / Perm

Position overview:

The Executive Assistant will play an integral, hands-on role in keeping the Executive and Leadership business operations and activities organized and functioning seamlessly. He/she/they will primarily serve as executive assistant to the CEO but will also support other executives on large cross-functional scheduling needs or travel for executive offsites. Additionally, he/she/they will support office management, event planning, and the HR team- as needed.

Major responsibilities include but are not limited to:

  • Manage CEO schedule, expense reports, and travel

  • Handle event planning and travel for executive offsites, manage travel policies for the broader team (with support of HR)

  • Responsible for heavy cross-functional calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings

  • Act as a gatekeeper to the CEO, understand his needs and help ensure the calendar is not just organized but helps him spend his time on the most valuable issues

  • Assist with board documents, executive meeting planning, and documents, support the team in being organized and efficient

  • Review, summarize and organize miscellaneous reports and documents

  • Handle confidential information in a professional and discreet manner

  • Act as the Executives’ representative and ambassador to external clients as directed

Knowledge, skills, and abilities:

  • Must be extremely well organized, flexible, proactive, resourceful, and efficient

  • Ability to prioritize and handle multiple assignments at any given time while maintaining a commitment to deadlines

  • Attention to detail will be key to a successful work product

  • Ability to handle a wide range of administrative-related tasks and work independently with little to no supervision, take ownership of outcomes

  • Intermediate to expert-level skills in Microsoft Office, Word, Excel, Microsoft PowerPoint, and Visio a must

  • Demonstrated ability to handle confidential information in a professional and discreet manner

  • Excellent written and verbal communication skills

  • Ability to remain focused, efficient, and effective while managing multiple priorities

  • Ability to maintain a professional demeanor and to defuse emotional situations in a calm manner

  • Strong interpersonal skills and good judgment

  • Ability to communicate effectively with all levels of employees and outside contacts

  • The ability to provide after-hour and flexible support is a must

Qualifications:

  • Minimum 5+ years of experience supporting at the executive/officer level

  • BA/BS degree in Business, Marketing, or Communications experience a plus, as is experience or interest in the fitness space

  • Strong business acumen and attention to detail

  • Experience working with confidential information
