Who we’re looking for:
We’re looking for an Executive Assistant to join our Operations team. This role will report to Roxanne Petraeus, Co-founder and CEO, and will also support Anne Solmssen, Co-founder and CTO.
Ethena works east coast hours and for this role, a strong preference is for this person to be located in east coast or central hours, however, this person can be based anywhere in the US.
Our new Executive Assistant will be responsible for providing executive administrative support to our founders and will be a key contributor to ensure that Ethena is set up for success day-to-day. The right person will be excited to build the support systems, processes, and administrative infrastructure to bring our founders’ vision and ideas into reality.
What you’ll do:
• Oversee, manage, and assist with the day-to-day operations of our founders. This involves scheduling, researching, and continuously analyzing processes to ensure efficiency
• Maintain a strategic bird’s eye view of founders’ schedules at all times to ensure optimized calendars exist. (Example: Keeping time open for last-minute meetings, scheduling time for focused work, and not overbooking)
• Prepare, collect, organize, and deliver materials for important meetings
• Navigate systems and stakeholders to direct questions, requests, and projects to the appropriate place
• Help founders offload unplanned administrative work
• Manage cross-functional and ad-hoc projects, keeping project stakeholders informed and engaged
• Collect and drive a list of key decisions that require attention (examples include documents to sign/review, important emails, invitations, deadlines, reminders, etc.)
• Occasionally take on additional tasks that may be difficult for founders to complete on days they are booked with meetings
Projects include:
• Providing a weekly calendar report to our CEO, drawing her attention to key upcoming meetings, particularly ones that require preparation
• Creating and managing a CRM for founders’ contacts
• Coordinating cross-functional meetings, from creating the meeting deck and ensuring participants are prepared to compiling action items and next steps at the meeting’s conclusion
• Tackling high leverage personal tasks (example: scheduling a COVID booster) such that meetings are minimally impacted
• Arranging personal travel
• Planning company events as needed
• Triaging our CEO’s inbox, either taking action on incoming mail or enabling easy follow-up
What makes a great candidate:
• Proven ability to optimize scheduling, or what we like to call “strategic scheduling”
• Proven success in developing and implementing new policies and procedures
• Experience developing, assessing, and executing projects, adapting well to change, and prioritizing additional or ad hoc projects as they arise
• Experience navigating incredible growth for the business and individual team members as well as complexities that come with a scaling tech startup
• Previous success as a key partner to Executives in a high-growth organization
• A personality that strives for organization and enjoys initiating, managing, and completing projects
• An entrepreneurial mindset — we’re an early-stage startup, so we’re not looking for someone to simply run a playbook; we want you to help build it
• A “roll up your sleeves” mentality and comfort with ambiguity
