CPA Firm Administrator

Job title: CPA Firm Administrator

Location: USA based with USA work authorization

3 Years+ Administrator / accountant with light quickbooks, accounting experience, or similar experience ideal. (We are flexible).

(AKA: The Super Admin Office Manager)

(Primarily work with Excel, email, Quickbooks Online, and Google Docs) 

The Firm Administrator will assist in a variety of roles to ensure the core production team can focus on technical tax and accounting work. The candidate will be highly detail oriented, flexible in taking on new responsibilities, and a fast learner. Experience working in excel and with numbers is required to a large degree. Client communication is primarily email. Team communication is daily and uses audio only / screen-shares.

Possible candidates could have experience in project management, bookkeeping, tax / financial offices, or a strongly related educational background. All tasks may be learned on the job for the right motivated person that does not mind working in different areas of the firm during the same day.

What will you be doing?

  • Manage firm emails, projects, assignments, and requests

  • Manage firm billing and possibly books

  • Onboard / off-board clients

  • Assist in prospective client proposals

  • Filing signed returns and sending along confirmations

  • Assisting with firm traffic flow (projects / requests) and tracking KPIs (key performance indicators)

  • Firm project tracking and metrics

  • Some data entry and document organization

  • Organization and optimization of document exchange (PDF organization, titling)

  • Possibly assist with basic client bookkeeping

  • Manage firm and client calendars

  • Possible cross functional roles time, experience, and interest permitting

  • Occasional client correspondence for needs, outstanding invoices, text, and very occasional phone calls on the business phone line

What if I am missing some relevant skills?
Traits such as being highly detail oriented and ok with working in a variety of tasks is crucial. For example in the same day you could be on-boarding a client, preparing a draft proposal, and running KPI (Key Performance Indicators) for the month-end scorecards all in the same day. Some background with Excel and exposure to tax and or accounting is therefore very important. The actual granular tasks such as doing billing, organizing files, and running the reports can all be taught. No one candidate will have perfect skills across all the required areas.
What are some perks of the Job?
Work with a nice team making daily impact for clients and on the business. The job is fully remote and general flexibility increases with time. Expect a grand total of 4 to 5 paid weeks off with holidays, bonus days, flex time accrual, and sick time if needed. Come in, do a great job, and then leave work behind. We respect our time off and try to avoid working more than 8 hours a day.
Is there a trial or test period? About how long?
Yes. We have a one month trial period.

Can I work from anywhere?
No. The work must be performed in the USA on a secure dedicated internet connection. You must have a private (home ok) office to conduct phone calls.

Yes. Standard hours are 8 hours a day, in the timeframe: 8 to 5 PST.

Generally we will perform a soft-skills test (no right or wrong answer), a knowledge-based test, and a standard background check. The knowledge-based test is mostly to gauge very basic levels of aptitude to understand where we need to direct training efforts early.
