A10 Test Prep is a leading publisher of study guides for professional certification exams. We help individuals prepare for high-stakes tests with clear, approachable content that drives real results. As the founder, I am focused on rapidly growing this business while pursuing additional ventures and investment opportunities.

But—like many entrepreneurs—I’m juggling way too much. Some tasks are falling through the cracks, and I haven’t had time to pursue promising new ideas. That’s where you come in.

About the Role

I’m looking for a full-time and highly capable Executive Assistant & Data Entry Specialist to help manage day-to-day tasks, communicate with others on my behalf, and organize information. This job will be split approximately:

  • 20 hours/week of executive assistant work

  • 20 hours/week of focused data entry

Some data tasks can be repetitive, but they’re essential to our growth. I need someone who can lock in and get them done accurately—and then pivot into more creative or varied projects when needed.

Key Responsibilities

  • Participate in daily Zoom/phone check-ins to discuss projects and priorities

  • Manage and organize incoming emails

  • Perform data entry tasks (copy/paste across apps, review for accuracy)

  • Conduct warm and cold outreach via phone, text, and email (vendors, customers, freelancers, etc.)

  • Make calls on my behalf when needed (if you're phone-shy, this role isn’t the right fit)

  • Recruit and coordinate with freelancers for short-term projects (LinkedIn, Upwork, email outreach)

  • Conduct background research for new business ideas

  • Track and manage due dates across multiple projects

  • Help organize events related to my volunteer work

  • Follow templates for social media post creation

  • Handle travel logistics (research, booking, coordination)

  • Assist with occasional online shopping and product comparisons

  • Support select personal tasks (appointments, contractors, etc.)

  • Update WordPress content as needed

  • Flexibly support both personal and business projects as priorities shift

Requirements

Personal Traits

  • High emotional intelligence and strong common sense

  • Empathetic and able to understand others’ perspectives

  • Positive attitude—this is a no-drama, no-complaining zone

  • Self-motivated: I need to trust that things are moving without constant oversight

Professional Skills

  • Friendly, conversational writing style

  • Comfortable speaking naturally and clearly in English (A non-native accent is absolutely fine, but slow or halting speech will be a challenge for this role)

  • Exceptionally detail-oriented

  • Able to manage micro-level tasks without needing to be micro-managed

  • Technically savvy and confident using online tools

  • Proactive: You anticipate needs and take initiative

  • Dependable and consistent

  • Assertive enough to push me when needed

Preferred Experience

  • Executive assistant experience to a founder (strongly preferred)

  • Background in data entry, writing, project coordination, or online research

  • Bonus: If you’ve taken certification exams, you’ll understand our audience better

Tools You Might Use

Experience with these isn’t required, but familiarity helps:

  • Google Workspace (Docs, Sheets, Gmail, Calendar)

  • Zoom, Slack, Airtable, Trello/Asana, Notion

  • WordPress (basic content updates)

  • LinkedIn and Upwork for recruiting

Work Details

  • Type: Remote, Full-Time (approx. 40 hours/week)

  • Schedule: Eastern time zone, normal business hours

  • Pay: $1,600 - $2,000 Monthly

  • Duration: Long-term
