We are seeking an experienced Operational Support role to join our team. This role is a full-time position. What You’ll Do
âś” Improve operational efficiency by evaluating current software and tech tools while evaluating and implementing software solutions as needed.
âś” Implementation and utilization of automation/AI
âś” Review and implementation of process improvements, enhanced workflows, creation and refinement of SOPs, and streamlined reporting
âś” Support team capacity planning, budget maintenance, and timesheet maintenance while coordinating with the team
âś” Assisting in monitoring workloads and proactively preventing bottlenecks
âś” Management and maintenance of our project management system, Karbon
✔ Assistance in improvements to the company’s service library and pricing model
✔ Assistance in improvements to the company’s proposal process and preparation of agreements.
✔ Ownership of the company’s invoicing
âś” Ownership of various administrative tasks as needed.
What You’ll Need
âś” Bachelor's Degree in Accounting or related field
âś” 3+ years of experience in an operational, administrative support, or process improvement role.
âś” Strong organizational and project management skills with the ability to manage multiple priorities efficiently.
âś” Excellent written and verbal communication skills, with the ability to interact professionally across teams.
âś” Strong tech-savviness and ability to quickly learn and adapt to new software tools.
âś” Ability to work independently and take initiative while collaborating effectively within a team.
âś” Comfortable working in a remote-first environment and aligning with US business hours.
âś” Strong attention to detail and accuracy, with good analytical skills.
âś” A positive, helpful, and can-do attitude
What’s Nice to Have
âś” Experience with workflow automation and project management tools, such as Karbon, Asana, Trello, or Monday.com.
âś” Experience with billing and financial operations tools, such as QuickBooks, Stripe, or similar platforms.
âś” Familiarity with process automation tools, such as Zapier, Power Automate, or Make (formerly Integromat).
âś” Data analysis skills using Excel, Google Sheets, or Power BI to generate insights from operational data.
âś” Exposure to capacity planning and team workload management in a service-based business.
âś” Accounting or finance background is a plus but not required.
