Executive Assistant - Healthcare

Job Duties:

Support Medical Leadership

  • Manage complex calendars and priorities for physicians and medical advisors on staff.

  • Schedule internal and external meetings, including with partners, researchers, advisors, and industry stakeholders.

  • Prepare agendas, capture decisions, and follow up on action items to drive momentum forward.

  • Handle travel logistics, itineraries, event coordination, and expense reports.

Assist With Medical & Scientific Workflows

  • Support the preparation of medical advisories, expert reviews, research summaries, and technical presentations.

  • Help maintain accurate documentation, structured workflows, and organized knowledge repositories.

  • Coordinate communication between medical experts and cross-functional teams (product, engineering, research, partnerships).

  • Ensure sensitive information — including early-stage product plans and confidential partner materials — is handled discreetly.

Project, Process & Operational Support

  • Track deliverables and timelines across medical-led initiatives.

  • Bring structure to fast-moving conversations and ambiguous problem spaces.

  • Own document management, version control, and internal alignment across stakeholders.

  • Build and refine systems that make the medical team and the broader org more effective.

Act as a Culture Carrying Force

Serve as a trusted partner and steady operational anchor for a high-performing team.

  • Anticipate needs, solve problems proactively, and help streamline workflows.

  • Bring positive energy and adaptability into a fast-paced, mission-driven startup environment.

What You Bring:

Required

  • 3+ years of experience supporting executives or senior leaders (healthtech, biotech, medical, or tech preferred).

  • Comfort working with medical terminology and scientific or technical documentation.

  • Excellent written and verbal communication — concise, precise, and polished.

  • Strong organizational skills and impeccable attention to detail.

  • Experience juggling multiple priorities and executing quickly in a fast-moving environment.

  • High discretion when working with confidential information.

Bonus

  • Experience working with physicians, medical advisors, or scientific experts.

  • Background in healthcare administration, life sciences, public health, or similar.

  • Prior experience in a startup environment or high-growth company.
