Role Overview

We are looking for a resourceful, detail-oriented person to own the process of acquiring business registration data from Secretary of State offices across all 50 states (and territories). This is a relationship-driven, persistence-heavy role—you’ll be the person who figures out how to get the data, whether that means making phone calls, sending emails, filing public records requests, or navigating government portals. You don’t need to be a developer, but you do need to be highly comfortable using AI tools to work smarter and faster.

As a secondary responsibility, you’ll help with day-to-day business operations including invoicing, subscription management, and other administrative tasks that keep the business running smoothly.

Primary Responsibilities

Data Acquisition (approx. 70%)

  • Research and establish contact with Secretary of State offices and equivalent agencies in all 50 states and U.S. territories

  • Initiate and manage ongoing relationships with government contacts to obtain business registration data on a regular cadence

  • Use whatever communication method is most effective—phone calls, emails, FOIA/public records requests, online portals—to secure data access

  • Track acquisition status, costs, timelines, and renewal dates for each state in an organized system

  • Troubleshoot issues with data delivery, formatting, or access and escalate technical problems as needed

  • Stay current on changes to state filing systems, fees, and data availability

  • Leverage AI tools (ChatGPT, Claude, etc.) to draft correspondence, research contacts, summarize regulations, and streamline repetitive tasks

Operations Support (approx. 30%)

  • Manage customer invoicing and follow up on outstanding payments

  • Set up and maintain customer subscriptions and billing configurations

  • Assist with general administrative tasks such as documentation, data entry, and process improvement

  • Help respond to routine customer inquiries and route technical issues appropriately

  • Support contract and pricing administration as needed

Qualifications

Required

  • Strong communication skills—you’re comfortable cold-calling a government office and following up persistently until you get what you need

  • Highly organized with the ability to manage dozens of parallel workstreams across different states and timelines

  • Comfortable and proficient using AI tools (e.g., ChatGPT, Claude, Gemini) to assist with research, writing, and workflow automation

  • Self-directed and resourceful—you figure things out without needing step-by-step instructions

  • Attention to detail, especially when tracking costs, deadlines, and data delivery schedules

  • Professional written and verbal communication skills

  • Reliable internet connection and ability to work independently in a remote environment

Nice to Have

  • Experience working with government agencies or navigating bureaucratic processes

  • Familiarity with public records requests (FOIA or state equivalents)

  • Background in operations, office administration, or account management

  • Experience with billing platforms (e.g., Stripe) or CRM tools

  • Interest in data, APIs, or SaaS businesses (no coding required)
