About the Portfolio Management & Executive Assistant Role

Destination Asset is hiring an Executive Assistant to work directly with the founder. This is a role that was created to support the founder with business and personal tasks. Overall, the EA will be helping the founder save time and streamline specific tasks as well as handle client support questions by answering or delegating as needed.

Jacob has prepared some training materials to make the transition into the role as smooth as possible, but this role will throw you into some tasks that will need you to create systems, take notes, and keep track of how things are done yourself. This role will be flexible at the beginning while you learn the systems, and be flexible with how you keep things organized. You can pitch in ideas to improve things. The new EA will have the support they need to learn the company, the role, and be positioned for success. The first week or two on the job will be training with the founder. The first two months in general will be training-focused, and spent getting you up to speed answering emails. You’ll be at the front edge of the Airbnb industry and what it takes to be successful in it. 

After training, the new hire will be communicating with the founder regularly and will be more autonomous with the responsibilities. 

Responsibilities of the Job:

  1. Answering or directing client/partner email, slack, whatsapp, etc support requests

  2. Responding to each client while knowing (or knowing how to reference) their preferred tone, strategy, philosophy, knowing promises made, what not to say, sensitivity level, risk tolerance, their main concern, etc

  3. Oversee and communicate with the team leader to ensure certain task completion

  4. Setting deadlines and timelines for tasks and managing their completion

  5. Handle the administrative tasks currently on the desk of the founder

  6. Helping out with operational tasks related to the business

  7. Take ownership of keeping the founder organized in business and life

  8. Keep track of the simple sales cycle to ensure follow up with prime prospects

  9. Following SOP steps to create needed reports, use Claude projects, etc

  10. Proactively identifying areas of disorganization and building systems from the ground up to solve them.

  11. Creating, documenting, and implementing Standard Operating Procedures (SOPs) where none currently exist.

  12. Acting as a proactive problem-solver who anticipates the founder's needs rather than waiting for direction.
    Potentially lead future OTA listing optimization processes

  13. As the EA becomes more comfortable in the role, there’ll be opportunities for more responsibilities and projects. In addition to helping the founder manage their work, they’ll also be helping the rest of the team in specific capacities, acting as the glue of the team.

Details

This is a remote role. The hours are flexible, but the new hire needs to only have their workday overlap somewhere with Jacob’s. The team currently operates mostly within a 7a-3p Eastern US time.

This is a part-time, long-term, contractor role, salaried through Wise, paid weekly. As the business grows, or as skills are developed, it could easily become full time.

Who We’re Looking For

We’re looking for someone with at least 1 year of experience as an EA, VA, or in a related field. What’s most important for our new hire is to be driven, have passion for the industry, and have a can-do attitude.

Requirements

  • Minimum 1 year of experience

  • Located anywhere in North or South America (or can operate in those hours)

  • Top level, strong written and spoken communication

  • Strong understanding of data, spreadsheets, and numbers

  • Experience working remotely during set hours

  • Native English level

  • Use the word racecar in your app

  • Passion or interest in the real estate industry 

  • Strong EQ / emotional intelligence to manage client relationships

  • Attention to detail and pride in your work

  • Project management and scheduling experience

Nice to Haves

  • Experience as an Executive Assistant

  • Experience in short term rentals, vacation rentals, Airbnb, etc

  • Experience with answering emails and messages on behalf of an executive

  • Customer support experience
