BIG PICTURE:
Changing Lives Productions is seeking a highly capable and experienced Executive Virtual Assistant to work directly with the CEO as their right hand. This role goes beyond administrative support: organizing priorities, driving follow-through with his directs, handling company-wide projects, and turning ideas into execution.
The ideal candidate is resourceful, proactive, mature, and able to operate with minimal direction. They anticipate needs, solve problems before they escalate, close loops without being reminded, and translate the CEO’s vision into clear next steps. This is a dedicated full-time role requiring reliable Eastern/Pacific timezone overlap, fast response times, and no conflicting commitments that interfere with responsiveness, meetings, deadlines, or quality.
WHAT SUCCESS LOOKS LIKE IN THIS ROLE:
The CEO spends less time managing logistics and more time on high-impact decisions
Company projects move forward without constant oversight or repeated reminders
Leaders, admins, and stakeholders receive clear, professional communication and follow-through
Ideas from the CEO quickly turn into structured plans, owners, deadlines, and next steps
The CEO’s priorities stay organized and protected despite competing demands
Projects are taken off the CEO’s plate and delivered quickly, completely, and comprehensively
HOW YOU’LL SPEND YOUR TIME:
Partner with the CEO to organize priorities, track initiatives, and move important projects forward
Own systems for tracking projects, deadlines, decisions, and commitments so nothing important falls through the cracks
Turn broad CEO requests into clear action plans, stakeholder follow-ups, and completed outcomes
Serve as a professional liaison between the CEO and internal teams, admins, partners, and external stakeholders to ensure clear alignment, communication, and execution
Identify potential problems or bottlenecks early and propose solutions before issues escalate
Prepare presentations, documents, and research that help the CEO communicate clearly
Draft written communications including emails, memos, and LinkedIn/social posts
Structure meetings, decision frameworks, and preparation materials so discussions lead to action
Manage calendar, travel, and scheduling in a way that protects the CEO’s time and priorities
WHAT YOU HAVE:
10+ years in a support role such as Executive Assistant to CEO level executive with at least 200+ employees
Proven ability to take vague or broad requests and drive them to completion
Strong judgment, minimal-direction execution, and a bias toward action and follow-through
Exceptional written communication skills and the ability to draft clear, concise materials
Ability to research topics quickly and synthesize information into useful insights
Highly organized and capable of managing multiple moving priorities without dropping details
Professional maturity, low ego, and the ability to work respectfully with admins, leaders, vendors, and stakeholders
Comfort working directly with senior leadership in a fast-moving environment
Strong proficiency with Google Workspace, Slack, Notion, Excel, budgeting, and similar productivity tools
A strong systems mindset and ability to work independently in a remote environment with Eastern and Pacific timezone overlap
WHO OVERSEES YOU:
The Executive Virtual Assistant will report directly to the CEO
WHERE IT ALL GOES DOWN:
Our Executive Virtual Assistant will work remotely from home or personal office and will be required to utilize our time tracking software to log and submit work hours
WHEN THE MAGIC HAPPENS:
The typical work schedule is 40+ hours a week, specific times will be discussed during the interview
