The Role
People Ops at The Mind Company is a small team with a large impact, partnering with managers and leadership to curate an engaging and positive candidate and employee experience.
To further this goal, we’re looking for a seasoned Sr. People Ops Generalist who thrives in fast-paced environments and is energized by managing both strategic initiatives and day-to-day operations. It’s a broad set of responsibilities, so we are searching for a true generalist who is equally happy scheduling candidates as they are working behind the scenes to keep us compliant and paid on time. This role revolves around managing an extensive list of critical and time-sensitive tasks, so we’re looking for someone who moves quickly, has a keen eye for detail, and is aligned with our goal of timely responses (even if that means jumping on after hours). This role regularly interacts with candidates, employees, and external partners, so excellent written and verbal communication and a customer-service mindset are essential for success.
This is a fully remote position anywhere in the United States, targeting candidates based outside of major metro areas. The role will partner with and report to the Director of People Ops.
How You’ll Make an Impact Here:
HR
Keep our HR data accurate and confidential by managing our HR systems and records (Gusto, BambooHR, Deel).
Ensure the team is compensated and cared for through managing global payroll, benefits administration, 401(k), and leaves (eg. parental, FMLA, disability, etc.).
Keep us compliant, ensuring adherence to federal, state, and local employment laws, visas, overseeing tax registrations and filings, and supporting audits.
Provide expert advice on HR, benefits, and compliance matters internally, applying and updating company policies in the employee handbook.
Lead onboarding and offboarding efforts, including managing documentation (eg. I-9, PIIA, COBRA, etc.), scheduling sessions, and coordinating device shipment.
Liaise with external vendors and partners, including immigration attorneys, benefits brokers, and government agencies, to manage critical HR processes and ensure compliance.
Recruiting Coordination
Keep our recruiting process running smoothly by managing our ATS and recruiting admin (eg. posting JDs, scheduling interviews, sending offer letters, etc.).
Provide an excellent candidate and hiring manager experience through helpful and timely communication.
Virtual Office Management
Celebrate important moments by managing our employee recognition and swag efforts (eg. scheduling swag/gift delivery, designing/ordering new swag, anniversary shout-outs, etc.)
Keep the business running smoothly through virtual office management (eg. device procurement, IT account management, mail, all-hands slide deck management, etc.)
Qualifications:
You have 5+ years of progressive HR experience and hold an HR certification (PHR, SPHR, or SHRM-CP/SCP).
You have broad knowledge of HR operations, compliance, and benefits administration, with experience managing multi-state employment requirements (particularly for companies with 50-100 US-based employees).
You are highly reliable, detail-oriented, and “sweat the small stuff”.
You have experience leveraging AI to increase your productivity and impact, and the sound judgment to do so ethically and effectively.
You are a proactive problem-solver, regularly noticing things that need to be done and/or could be improved, and taking the initiative to do so.
You have a customer service mindset and excellent written and verbal communication skills.
You like to roll up your sleeves and get the job done - no task is too small or unglamorous.
You are able to flex your schedule to accommodate urgent after-hours requests, as they arise.
Bonus:
You have experience with full-cycle recruiting, including sourcing, resume screening, phone screening, candidate communication, and ATS management (we use Ashby).

Compensation:
At The Mind Company, we take a thoughtful and equitable approach to compensation with the goal of offering fair and sustainable salaries to all employees. We use a market-based, pay-for-performance compensation model that we update annually with high-quality industry compensation data.
The full salary range for this role is $103,000-$135,000 USD, but a subset of the range will be used based on each candidate’s location. Final compensation packages are based on several factors that are unique to each candidate, including but not limited to skill set, experience, and location.
Finally, we believe that people should be paid equitably for their expected (and then actual) contributions rather than negotiation skills. To that end, we give all successful candidates our “first and best” offer, and have a no-negotiation policy. We also provide all employees with consistent opportunities to receive compensation increases in line with their contributions and impact throughout their tenure.
