IT Administrator
About the Role
Role: IT Administrator
Engagement type: Independent Contractor (part-time, up to 3 days/week)
Reports to: Head of Engineering
Effective: ASAP
UpScrolled is engaging an IT Administrator on a contract basis to manage the systems and access infrastructure that keeps the company running. As a remote-first team operating across multiple countries, our reliance on cloud-based tools is high β and so is the cost of getting access management wrong.
This engagement covers the day-to-day administration of UpScrolled's software platforms: who has access, what level of access they have, and that those permissions are accurate, current, and auditable. The contractor will also be responsible for the security hygiene of our SaaS environment and for supporting the operational processes that touch IT β primarily employee onboarding and offboarding. This is a part-time engagement of up to three days per week, with hours flexing to the needs of the business.
Scope of Work
Identity & Access Management
Administer user accounts across all UpScrolled platforms, including provisioning new users, modifying access levels, and deprovisioning accounts upon departure
Maintain and enforce role-based access controls (RBAC) β ensuring users have the minimum permissions necessary to perform their role and no more
Manage group memberships and distribution lists across all platforms, keeping them accurate and aligned with current team structure
Configure and maintain single sign-on (SSO) integrations where applicable, and enforce multi-factor authentication (MFA) across the organization
Conduct regular access reviews to identify and remediate stale accounts, excessive permissions, and orphaned access
Maintain a complete, up-to-date access log documenting who has access to what, at what level, and when changes were made
Configure, maintain, and manage access to VPN and secure network connectivity for team members and contractors
SaaS Platform Administration
Serve as the primary administrator for UpScrolled's core platforms, including but not limited to: Google Workspace and Slack. For HR platforms (HRIS and ATS), act as secondary administrator in support of People Operations
Maintain a current inventory of all company SaaS subscriptions, including license counts, assigned users, renewal dates, and costs
Maintain up-to-date documentation of all systems, accounts, and permissions in use across the company β including ownership, purpose, and access levels
Identify unused or over-provisioned licenses and flag opportunities to reduce spend
Manage vendor relationships for IT tools, including handling renewal notices and coordinating with the appropriate internal stakeholders
Support the evaluation and onboarding of new software tools, including user setup and access configuration
Device Management
Maintain an asset register of all company-owned devices, including assignment, configuration status, and location
Oversee device provisioning for new hires β ensuring equipment is configured and ready before a new employee's first day
Manage the mobile device management (MDM) system to enforce security policies, deploy updates, and remotely wipe devices where necessary
Ensure all company devices meet baseline security standards: disk encryption, screen lock, OS updates, and endpoint protection
Security & Compliance
Monitor for and respond to IT security alerts, including unauthorized access attempts, suspicious login activity, and policy violations
Maintain audit logs and access records in a format suitable for internal review and external compliance requirements
Support GDPR compliance as it relates to IT systems: data access controls, data retention configurations, and documentation of processing activities
Maintain documentation of IT security policies and procedures, keeping them current as the tool stack evolves
Report security incidents to the Head of Engineering and escalate to the appropriate stakeholders where required
Cloud Infrastructure (Nice-to-have)
Support UpScrolled's cloud environment as and when required, drawing on hands-on experience with major cloud providers
Administer cloud account and identity access management (IAM): users, roles, policies, service accounts, and least-privilege permissions
Set up and maintain observability and monitoring tooling β logging, metrics, dashboards, and alerting β in coordination with the Engineering team
Assist with other cloud administration tasks as needed, such as cost visibility, backup configuration, and security baseline reviews
Onboarding & Offboarding
Create and maintain employee-facing guides for requesting access, reporting IT issues, and understanding what tools are available to them and how to use them
Execute the IT component of employee and contractor onboarding: account creation, platform access provisioning, device setup, and confirmation that all systems are ready on day one
Execute the IT component of offboarding: prompt deprovisioning of all access, device return coordination, and confirmation that no residual access remains within 24 hours of departure
Maintain and improve the IT onboarding and offboarding checklists, keeping them aligned with the current tool stack
Coordinate with People Operations to ensure IT readiness for all start dates and departures
Deliverables
The following deliverables are expected on a recurring basis. Additional ad hoc deliverables may be agreed in writing between the parties.
