ROLE OVERVIEW π
As an Accountant Communication Specialist, you'll be the primary email touchpoint for our clients. Addressing their in-depth queries, offering tailored solutions, and liaising consistently with our in-house accounting team are crucial elements of this role.
RESPONSIBILITIES:π
Manage Client Email Communications π
Prioritize Client Emails: Organize and respond to emails based on urgency and importance, ensuring that high-priority items are addressed quickly.
Clarity and Tone: Maintain a professional and friendly tone in all communications. Ensure that responses are clear and free from jargon, tailoring explanations to the client's understanding level.
Track Email Trends: Keep an eye π on common queries or concerns to anticipate future needs or develop FAQs.
Feedback Loop: Regularly ask for feedback on email communication quality and adjust strategies accordingly.
Fulfilling Client Requests π
Complete Accounting Task: Finish accounting tasks within 24 hours of email request or provide clients with an accurate timeline if needed.
Task Analysis: Break down client requests into actionable tasks, ensuring full understanding of the requirement.
Documentation: Keep detailed records of all tasks, ensuring transparency and traceability.
Follow-Up: Check in with the client after fulfilling a request to ensure satisfaction and address any concerns.
Document Client Interactions and Feedback π
Maintain Records: Systematically record all client emails, noting the date, query nature, and solution provided.
Feedback Compilation: Group and categorize feedback from clients to understand common themes and improvement areas.
Review and Analysis: Regularly analyze documented interactions to spot patterns or recurring issues.
Reporting: Create weekly reports highlighting client interaction trends and feedback. Share insights with relevant departments.
Security and Confidentiality: Safeguard all client interactions, respecting confidentiality. Regularly back up data to avoid loss.
Tools and Software Usage: Utilize Karbon and QuickBooks Online for efficient management and task completion.
Experience: π
3+ years of experience in accounting and bookkeeping.
3+ years with QuickBooks Online.
Strong communication skills.
High accuracy and attention to detail.
Technical Skills Required: π οΈ
Research payments to see if theyβve been received and/or deposited to the bank
Apply payments for clients, provide instructions on how to do so
Code returned payments and refunds, including re-opening invoices
Troubleshoot QBO when client is having issues with the program
General QBO functions: Refresh bank feeds, check user roles/access, maintain lists
Respond to client inquiries on how to code an item
Generate and/or update QBO reports
Generate and/or update OnTrack proprietary reports
Code transactions per client requests
Maintain client information spreadsheets (client information, transaction coding information, payroll information, etc.)
The following software programs are used daily: Dext, Bill.com, Reach Reporting, Trainual, Loom, Hubstaff, Google Suite, AR Workflow, various banking and credit card websites
