AI Marketing Tech & Operations Specialist

As our AI Marketing Tech & Operations Specialist, you are the connective tissue of our entire operation. You take what our designers build and make it work. You take what our strategists vision and make it run. Every automation, every workflow, every integration that moves a lead closer to becoming a client—that's yours. You don't wait to be told what's broken. You find it, fix it, and document it before anyone else notices.

This is not a task-taker role. This is a builder role. A systems thinker who takes full ownership of the infrastructure that drives our demand, our retention, and our revenue—and feels genuinely lit up doing it.

Core Responsibilities

Funnel & Tech Integration

• Connect and configure the mechanics behind our funnels—wiring opt-ins, order pages, upsells, and thank-you flows so everything talks to each other seamlessly

• Set up and maintain digital products across platforms, ensuring flawless delivery and access from day one

• Own the integrations between our tools—making sure data flows correctly, tags fire properly, and nothing falls through the cracks

GHL Automation & CRM Ownership

• Own all GoHighLevel workflows, automations, pipelines, and campaigns—this is your domain

• Keep our CRM clean and healthy: contact tags, list segmentation, pipeline stages, and data hygiene that keeps our decisions sharp

• Build dashboards that give leadership real-time clarity on pipeline health, campaign performance, and program KPIs

• Regularly audit automations to catch anything broken or misfiring before it ever reaches a client

Email Marketing

• Execute and optimize email campaigns in GHL—sequences, broadcasts, and behavioral triggers

• Configure and maintain upsell and downsell logic so every offer flows in the right order, to the right person, at the right moment—and actually converts

• Watch deliverability, open rates, and list health closely; fix problems before they become trends

• Apply smart segmentation so the right message lands with the right person at the right moment

Content Distribution & SEO

• Schedule and publish podcast episodes with SEO-optimized show notes, titles, and metadata across all platforms

• Upload and optimize YouTube content with descriptions, tags, and timestamps that get us found

• Apply SEO best practices across everything we publish—organic reach is a growth lever, not an afterthought

App & Platform Management

• Upload and manage audio content in the Pause Breathwork app; own promo codes, access, and the member experience behind the scenes

• Catch errors and access issues before members do—and resolve them fast

• Maintain Thinkific so our students move through their learning journey without unnecessary friction

AI & Systems Innovation

• Actively bring AI into our workflows to automate the repeatable, speed up the manual, and free the team to do their highest-leverage work

• Don't wait for permission—if you see a place where AI could make us faster or smarter, build it

• Document what you build so the whole team can use it without needing you to hold their hand

• Stay ahead of what's emerging and bring recommendations before we even know we need them

Tech Stack 

• GoHighLevel (GHL) - primary CRM, automation, and funnel platform

• Thinkific - course hosting and student experience

• Zapier - cross-platform automation and integration

• ClickUp - project and task management

• Notion - documentation and SOPs

• Slack - team communication (1-hour response is the norm, not the goal)

• Stripe - payment processing and product setup

• Zoom - webinar and call infrastructure

• Libsyn / podcast platforms - episode scheduling and distribution

• YouTube Studio - content publishing and SEO

• Pause Breathwork app - audio content and user management

How Success Is Measured

KPI: Email Open Rate
Target: At or above industry benchmark; negative trends get addressed within 7 days

KPI: Task Deadline Hit Rate
Target: ≥ 95% of tasks delivered on or before due date

KPI: Monthly Quality Audit Score
Target: Zero critical errors; findings documented and resolved within 48 hours

KPI: Proactive Improvement Shipped
Target: Minimum 1 meaningful system improvement per month
