Executive Assistant for TeamUp | Pacific Timezone (Remote - Global)

This is a full-time independent contractor role. Candidates must be able to commit exclusively to this position and not engage in part-time or freelance work once hired.

TeamUp is looking for a proactive, highly organized Executive Assistant to support an executive leader and help maximize their impact. This role is all about creating leverage — ensuring their time and energy stay focused on high-impact work by managing communication, commitments, schedules, and key personal logistics.

We are open to candidates based in the Philippines, South Africa and Latin America who thrive in remote, fast-moving environments and can operate with a high level of autonomy.

What You’ll Own

Communication & Triage

  • Manage inbox and Slack communication, filter what truly needs attention, and draft responses or handle requests when possible.

  • Turn ad hoc requests into clear next steps: handle, delegate, schedule, or escalate only when urgent.

Sales & Relationship Follow-Up

  • Support follow-ups for sales and partner conversations.

  • Draft personalized emails, track commitments, and ensure no opportunities slip through the cracks.

  • Join calls when helpful to capture context and next steps.

Calendar & Time Protection

  • Fully manage the leader’s calendar to reflect priorities and boundaries.

  • Protect time for deep work and batch decisions into predictable rhythms.

Commitments & Follow-Through

  • Capture commitments from calls and messages, assign owners, set due dates, and ensure follow-through.

  • Surface only important or blocked items when needed.

Rhythms & Decision Support

  • Establish daily and weekly workflows that reduce interruptions.

  • Maintain a short daily priority list and run brief check-ins to keep things aligned.

Personal & Life Logistics

  • Add and manage family and personal events.

  • Book appointments, track small personal deadlines, and coordinate travel and logistics.

Travel Support

  • Ensure smooth travel weeks by handling logistics, adjusting schedules, and keeping key communication moving.

  • The executive’s time is spent on high-leverage work — not inboxes, scheduling, or small approvals.

  • Follow-ups (especially sales-related) happen reliably and on time.

  • The team experiences fewer bottlenecks and clearer decision rhythms.

  • The leader feels less overwhelmed, more focused, and better supported professionally and personally.

Who You Are

  • A seasoned EA experienced in supporting executives in dynamic, high-growth environments.

  • Able to operate with autonomy, resourcefulness, and strong judgment — you can figure things out even when details are unclear.

  • Excellent at prioritization, communication, and anticipating needs before they arise.

  • Calm under pressure, organized, and reliable.

  • We welcome strong candidates from the Philippines, South Africa and Latin America.

  • Able to work 8 AM–5 PM Pacific Time.
