Production Coordinator

About the Team   

The Marketing team is comprised of experts in marketing strategy, creative strategy, content creation, digital marketing, social media, and digital analytics. We are responsible for raising awareness of and increasing engagement with College Board’s three highest priority programs: AP, SAT Suite, and BigFuture.   

   

About the Opportunity   

As the Production Coordinator, you are integral in managing the Creative team’s daily operations – ensuring the effective development of marketing deliverables, increasing the Creative team’s speed to market, and optimization of the team’s processes. You are an individual contributor responsible for the effective intake of daily creative assignments and the proper utilization of our creative resources. You will ensure all incoming projects contain clear specifications and directions, and are appropriately assigned to in-house designers or agency creative resources. You will collaborate closely with the marketing teams to establish the level of effort, cost estimates, and priority of each project to ensure that quality work is delivered effectively.   

 

In this role, you will:  

Coordinate (70%) 

  • Coordinate and manage creative intake and resourcing of all creative requests 

  • Maintain constant knowledge of current and upcoming projects 

  • Ensure quality, on-time input, and accurate reporting using project management-related tools  

  • Run daily standup meetings to assign and adjust pacing of daily work 

  • Negotiate timelines with project leads to ensure time is allocated for creative strategy and ideation 

  • Manage and report on the day-to-day resource management requests, tracking availability of in-house designers 

  • Collaborate with Creative Director on team priorities, to ensure alignment on new projects 

Manage Creative team led projects 

  • Lead the end-to-end management of Creative-led projects. This includes the development of project briefs, milestone tracking, budget management, onboarding of agency and freelance resources, and ongoing communication with key stakeholders 

  • Collaborate with Creative Director on project priorities, including reporting on timeline risks if resources are allocated to other projects 

Collaborate with Marketing team on outsourced creative marketing projects, to ensure effective creative oversight 

  • Identify outsourced marketing and program projects that need creative oversight and recommended level of effort 

  • Liaise with agencies in partnership with Procurement/Agency Services to generate project estimates and work with project owners to adjust scope or budget as necessary 

  • Coordinate with Marketing and Agency Services on appropriate milestones to bring in Creative team 

  • Develop and maintain outsourcing best practices for Marketing Operations, in partnership with Agency Services 

  • Maintain contact with a variety of external creative resources including agencies, vendors, contractors, and consultants

Strategize & Communicate (30%) 

  • Identify risks and propose solutions for projects 

  • Monitor scope creep to foresee potential problems, and proactively identify solutions to address them in advance 

  • Identify needs and resolve resourcing issues with project lead and appropriate stakeholders 

  • Forecast future and ongoing resource challenges, and propose and execute practical solutions  

  • Offer recommendations to determine which design resources are available and best suited to be assigned to upcoming projects  

Identify and recommend process improvements 

  • Design and drive process improvements that will enable Marketing Operations to provide resources against organizational goals  

  • Optimize processes and resource tracking systems 

  • Partner with Marketing Operations leadership to enhance and formalize standard operating procedures 

  • Manage communication around shifting priorities with key stakeholders to ensure positive workflow, and escalating issues to leadership when needed 

  

 About You  

  • Minimum 3 years of related work experience in creative resource management or studio management. Experience working in waterfall, hybrid, and agile methods 

  • Demonstrated success in balancing the needs of creatives and designers to deliver quality work, while meeting project requirements and milestones 

  • Understanding and appreciation of end-to-end creative development processes and best practices 

  • Strong time-management, planning, scheduling, cost-management, and reporting skills   

  • Appetite for problem solving and a love for fast-paced environments  

  • Excellent communication (writing, speaking, presentation)  

  • Strong knowledge of Microsoft Office applications and capacity-planning software; experience in JIRA is a plus 

  • Willingness to travel 2-3 times per year or <10% for in-person meetings/gatherings 

  • Bachelor’s degree preferred

  • We believe in compensating staff members fairly in relation to each other, their qualifications, and their impact. The salary range for a new employee in this position is $56,000-$95,000. The salary offer of an individual candidate within this range is specific to their location and qualifications.
