Executive Assistant

We’re looking for an Executive Assistant / Office Manager to support Figma’s APAC VP in Singapore to strategically manage the day-to-day administrative and operational needs of the APAC business, while also contributing significantly to projects and initiatives that help drive the company’s priorities.

We are looking for an experienced Executive Assistant who has supported at a VP or C-Suite level before. Experience with Sales teams is a bonus.

What you’ll do at Figma:

  • Manage the VP’s calendar, meetings, and international travel arrangements

  • Brief the VP prior to meetings, calls, and events

  • Inbox management for the VP, respond to scheduling requests & highlighting any key emails

  • Submit monthly expenses for the VP, ensuring all internal policies are followed closely. Sign-off expenses for the VP’s reports

  • Prepare reports and other confidential materials 

  • Build regular slides for the VP using Figma

  • Coordinate Senior Management meetings, organizing the agenda and following up on action points

  • Organize regular leadership offsites, including working with external venues

  • Lead all planning for monthly APAC All Hands meetings, co-ordinating all content and slides

  • Act as a key liaison between the VP and his leadership team, and the APAC team

  • Act as an on the ground representative for the VP

  • On/Off-boarding of staff and foreign transfers

  • Be a go-to person for all office related matters in Singapore

  • Identify the process and partnership required with our external payroll and administration provider

  • Identify opportunities to improve the office culture and space 

Some projects you might work on:

  • Work alongside the Workplace team to provide some support for logistics of internal events, team offsites and external events

  • Work in partnership with the Workplace team to ensure that the coordination and of all virtual internal events are in line with the VP’s goals 

  • Be the main point of contact of our Global HQ team when it comes to coordinating any internal global events, meetings etc

We'd love to hear from you if you:

  • Have 7+ years of experience in an administrative or support role in a growth environment 

  • Have experience building a great culture with an executive

  • Enjoy working in a fast paced environment and can adapt quickly to changing demands

  • Are an expert at prioritizing and seeing around corners

  • Are trustworthy, reliable and will maintain strictest confidentiality

  • Have expert communication skills and can communicate with a wide range of stakeholders in person, virtually and over email

  • Have a positive outlook and constantly strives to create a positive, inclusive environment for others to thrive in

  • Possess business fluency in English
