About the Role 

The Operations team is the driving force delivering an unparalleled customer experience at Firstbase. 

Our clients are asking us to solve the most difficult challenges behind supporting remote work and our Operations team is the group that tackles the current supply chain issues. This team breaks through barriers and works to deliver the best customer experience possible because that is what our customers require. 

We are seeking a Procurement Associate to help fulfill orders within the Operations team to ensure the customers get their orders before the employee start date; and assist with managing various vendor issues. Responsibilities include ownership for a group of clients to fulfill all orders on time, taking part in all purchasing activities related to said clients, working with other internal partners to help fulfill orders, working with the Customer Service and Customer Service Managers to troubleshoot orders, ensuring platform accuracy, and maintaining a minimum level of inventory. 

To be successful in this role, you should be very comfortable with E-commerce platforms and have outstanding communication skills, both written and verbal. We are looking for a diligent trouble-shooter who is willing to find solutions and who is self-motivated. Attitude is everything at Firstbase as we are a close-knit team who rely on each other; therefore, positivity is key.

The ideal candidate will be able to work under high pressure and to tight deadlines reporting directly to the Sr Operations Manager. Success for Firstbase’s customers means allowing them to focus on running their own business and relying on Firstbase to be their trusted partner. 

Your Responsibilities: 

  • Buy all the items necessary to fulfill the order of the clients assigned to you and ensure it is delivered on time 

  • Work with the Warehouse team to ensure all orders are fulfilled and inventory is maintained 

  • Root cause problems with customer orders and implement solutions 

  • Maintain a minimum amount of inventory that the customer wants to keep 

  • Inform required partners and parties about delays and issues 

  • Ensure processes are followed to help maintain platform accuracy 

  • Fulfill orders for our clients partnering with our Vendors and manage/maintain order data in our platform database 

  • Assist in the everyday needs in maintaining and managing Firstbase Vendor relationships and their orders 

  • Meet virtually regularly to: 

    • Review outstanding issues, SLA adherence, and communicate internal needs.

    • Report back to internal team with updates 

    • Escalate concerns to Operations Manager 

  • Reach out to potential new suppliers and screen incoming requests for new vendors

  • Work with suppliers to provide internal teams with most up to date pricing information

  • Identify business process challenges by analyzing process data and metrics 

  • Identify areas of improvement 

  • Iterate on and draft new process that drives the business to success 

  • Mitigate one-off escalations by identifying process gaps and fixing/implementing processes 

  • Analyze customer, order, inventory, vendor, and product data to produce actionable insights and reporting for clients and internal stakeholders 

  • Take full ownership for maintaining accuracy of inventory and orders managed 

  • Other duties as assigned 

A Few Key Qualifications 

  • BA/BS in applicable majors 

  • 3+ years experience in physical goods purchasing, preferably in the consumer electronics space 

  • Experience working with and communicating with external vendors 

  • Experience in data entry or other similar roles 

  • Analytical Skills 

  • Experience in Google Suite
