Who You Are:

You are a highly detail-oriented and proactive individual, ready to become an integral part of our dynamic events team as an Events Sourcing Specialist. In this pivotal role, you will be responsible for meticulously researching and identifying premier events that align with our strategic goals for sponsorship and attendance. Your keen eye for opportunities and ability to negotiate favorable terms will be essential in securing our participation in high-impact events.

In addition to your primary role in event sourcing, you will provide vital support to our marketing specialists with various remote tasks. These tasks include managing the procurement and inventory of awards and promotional swag items. By ensuring these items are ordered, stocked, and distributed efficiently, you will help maintain our brand's visibility and positive image at all events.

What You'll Be Doing:

  • Conduct thorough research to identify events for sponsorship and attendance that align with our company's strategic goals and target audience.

  • Utilize various sources such as industry publications, online platforms, and professional networks to gather comprehensive information on potential events.

  • Evaluate each event’s relevance and potential impact on brand visibility and business objectives.

  • Analyze the competitive landscape and industry trends to inform strategic decisions on event participation.

  • Identify key competitors’ event activities and sponsorships to benchmark and develop competitive strategies.

  • Provide detailed reports and recommendations to the events team based on findings from competitive analysis.

  • Maintain an organized calendar of potential events with key deadlines for applications, sponsorships, and event dates, alongside keeping the team up to date.

  • Collaborate closely with the events team to plan and coordinate all aspects of event sponsorships and participation.

  • Negotiate sponsorship packages and contracts with event organizers to secure favorable terms and maximize return on investment (ROI).

  • Assist in paying invoices related to swag purchases and shipments while maintaining accurate records of swag and award inventory, shipments, and related expenses for budget tracking and reporting purposes.

  • Support the review and qualification process for award requests and submissions, ensuring all criteria are met and approvals are obtained.

  • Coordinate with third-party vendors to manage the ordering, shipping and timely delivery of all promotional material, awards and swag for events and internal needs.

  • Establish and maintain strong relationships with vendors to negotiate favorable terms and ensure reliable service.

  • Support marketing initiatives through administrative tasks, align event strategies with business goals, and keep stakeholders informed of plans, progress, and outcomes.

What You'll Bring:

  • Must be available to work during US hours permanently, Monday through Friday, 9:00 am - 5:00 pm CST.

  • Bachelor’s Degree in Business, Marketing, Communications, or related fields.

  • At least 1 year of experience in marketing, event planning, or a related field.

  • Strong organizational skills and attention to detail.

  • Excellent verbal and written communication skills.

  • Ability to work collaboratively with internal teams and external vendors.

  • Proficiency in project management and multitasking.

  • Strong analytical skills and ability to make data-driven decisions.

  • Demonstrated approach to problem-solving and conflict management.

  • Must be a go-getter, not afraid to ask questions, and take accountability.

  • Must be a quick learner and willing to take on challenging tasks.

  • Initiative to find the resources needed to be successful in this role.

  • Proven ability to work independently, when needed.

  • Strong interpersonal skills to effectively work within the team.
