Executive Assistant / Personal Assistant

About the Role
My client is looking for a sharp, detail-oriented, and proactive Personal Assistant to support the founder as they scale their thriving company. This isn’t your typical assistant role—it’s about being a critical problem-solver, working independently, and adding value at every step. You will need to anticipate needs, handle tasks with precision, and ensure the founder’s time is maximized for strategic growth.

About the Company
My client is a rapidly growing company generating $3-5M annually, with a unique product that’s already the envy of the market. They’ve already had eight-figure offers, but they know the best is yet to come. With a recurring revenue model driven by a product that no one else can match, they’re primed for significant scaling and are looking for a talented assistant to help them hit $10-15M in revenue.

What You’ll Be Doing
You’ll be at the core of the operations, ensuring everything runs like clockwork, with an emphasis on efficiency, accuracy, and adaptability:

  • Managing the Founder’s Calendar: You’ll handle meetings, travel arrangements, and appointments, ensuring everything is streamlined and on time.

  • Email Management & Communication: You’ll draft and manage important emails, maintaining the founder’s professional image with precision and professionalism. A single mistake in communication could have a huge impact, so attention to detail is key.

  • Logistics & Travel Planning: Organize the founder’s travel, including hotel and flight bookings, ensuring smooth transitions and no hiccups along the way. You’ll need to think on your feet and catch any discrepancies, like finding the right hotel name even when instructions are unclear.

  • Supporting Strategic Projects: You’ll assist the founder with projects that push the business forward, from operational planning to collaborating with external partners.

  • Cultural Alignment: You'll need to not just execute tasks but also align with the company’s culture and vision. You’ll help build a high-performing environment by being a key cultural ambassador, ensuring the founder’s values are lived out in day-to-day operations.

What We’re Looking For
The ideal candidate is someone who thrives in fast-paced environments and possesses a combination of strong execution skills and creative problem-solving. You must be:

  • Proactive & Resourceful: Anticipating the needs of the founder and taking initiative on tasks before they become urgent.

  • Detail-Oriented: Managing tasks with absolute precision, ensuring there’s no room for error in your work, especially in emails, scheduling, and travel arrangements.

  • Culturally Aligned: You need to embrace the company’s mission and values and reflect that in every interaction, helping foster a strong, unified team culture.

  • Possessing ‘Vista’: You can handle ambiguity and recover from mistakes, providing solutions in a way that smooths over potential disruptions. You think on your feet and adapt to changing circumstances.

  • A Master of Efficiency: You can juggle multiple tasks, manage time effectively, and ensure operations run seamlessly.
