Payroll & Benefits Manager

YOUR ROLE

As a Payroll and Benefits Manager, you will play a critical role in managing and coordinating our fast-growing global company's payroll and benefits administration. Your mission is to ensure accurate and timely payroll and benefits processing while adhering to policies, regulations, and compliance requirements. In addition, your goal will be to streamline and optimize the payroll and benefits process, fostering a culture of excellence and transparency while maintaining the confidentiality of employee information. With that said, you need to be a creative, outside-of-the-box thinker to ensure Launch Potato has world-class total compensation and rewards at the right time for each stage of the company. 

SUCCESSFUL OUTCOMES

Payroll

  • Overseeing and managing the total compensation process

  • Recording and processing payroll

  • Managing reconciliation for payroll and bonuses

  • Maintaining employee confidential payroll and HIPAA files

  • Generating headcount, FSA, 401k, and payroll reports

  • Manage HSA employer quarterly contributions and employee payroll contributions

  • Maintaining all payroll and related systems

  • Computing wages and deductions

Benefits

  • Benefits & total rewards administration and management

  • Provide required leave of absence paperwork and manage leave files

  • Manage and provide required documents for leavers

  • Meeting with employees regarding their benefits

  • Administering self-insured health insurance plan and cobra administration

  • Tracking payroll accounts for 401k, HSA, FSA, etc

  • Processing insurance, 401K, FSA and ESPP

Administration, Compliance, and Reporting

  • Primary point of contact for all benefits and payroll compliance and administration

  • Manage yearly personnel reports, EEO, etc

  • As needed, set up new state withholding and unemployment accounts or local city accounts

  • Managing all incoming IRS & state tax level correspondence to ensure timely updates are made to our payroll system and anything that may need to be paid is routed to finance

  • Creating and assuring compliance with ACA requirements and state/country-specific requirements

  • Adhering to policies and regulations in each state or country, we have a team member

  • Maintaining company affirmative action programs and EEO-1 reporting and applicant tracking

  • Auditing deductions monthly against carrier invoices to ensure accuracy and compliance with section 125 and ACA reporting

  • Auditing contractor invoices and platforms to ensure there are no overpayments

  • Preparing accurate monthly, quarterly, and annual account reconciliations

WHAT YOU NEED TO SUCCEED

  • 3 years of experience managing payroll and benefits for a fast-growing company with multiple systems and a global team

  • Strong attention to detail, communication, and organizational skills

  • Experience with top payroll providers, benefits brokers, and related systems 

    • We use Gusto, Deel, Upwork, Worksuite, and QuickBooks Online

    • We will be moving away from Gusto, so we'd love your help with that

  • Knowledge of ACA requirements, state/country-specific requirements, policies and regulations

  • Knowledge of payroll and benefits laws and regulations

    • International knowledge would be a plus

  • Expertise in multiple payroll/benefits systems with a clear understanding of what approach works at each stage of a companies scale 

  • Knowledge of accounting principles and practices, you'll work closely with our Finance team

  • Knowledge of state-level benefit platforms and expertise setting up new states for companies
