About the Role
We're hiring an Operations Specialist to be the operational backbone of our go-to-market motion. You'll own the health of our CRM, keep our pipeline and forecasting data clean and trustworthy, and support the day-to-day business operations that keep our team running efficiently. This role reports to our Operations Manager and sits at the intersection of systems, data, and process โ you'll have a direct impact on how we operate and scale.
What You'll Do
Own HubSpot administration end-to-end: manage configurations, workflows, properties, user access, and integrations to keep our CRM accurate and scalable
Maintain CRM hygiene and data integrity โ monitor pipeline health, enforce data standards, and ensure our forecasting data is reliable and up to date
Support sales operations including deal tracking, reporting, and process documentation to help the sales team operate efficiently
Contribute to general business operations โ helping the Operations Manager with cross-functional initiatives, vendor coordination, process improvements, and internal tooling
Build and maintain operational reports and dashboards that give leadership clear visibility into pipeline, revenue, and business performance
What We're Looking For
Hands-on HubSpot experience โ you've administered it before, not just used it; you know your way around workflows, custom properties, pipeline configuration, and reporting
Demonstrated experience maintaining CRM hygiene and managing pipeline and forecasting data with a high degree of accuracy
Strong operational instincts โ you're organized, detail-oriented, and comfortable juggling both systems work and general ops tasks
Clear communicator who can work effectively across time zones in a fully remote environment
Nice to have: SQL or data analytics experience; comfort building reports from raw data
What We Don't Expect
You don't need to come from a SaaS company or have worked in a formal RevOps function before. If you've owned a CRM, kept data clean under pressure, and supported a revenue team in any capacity, we want to talk. We care more about rigor and ownership than job titles.
Our Hiring Process
We keep it efficient and transparent. Here's what to expect:
Hiring manager interview โ 45โ60 minutes. A deeper conversation about your experience, how you work, and the specifics of the role. Expect STAR-style questions โ we'll ask about real situations, not hypotheticals.
Panel interviews โ Two conversations with members of the team. One focused on skills and technical fit, one on collaboration and culture. Each interviewer will share written feedback before we debrief.
CEO interview (Ed) โ Every person who joins Shadeform meets with Ed before an offer is made. He's looking at trajectory, culture fit, and whether this is the right move for you as much as for us.
Offer โ If we're aligned, we'll move quickly. We aim to get from the first conversation to offer in two weeks or less.
