Executive Assistant at Thatch

About the role

We're hiring an Executive Assistant to provide administrative support to our founders. This role is crucial in ensuring that our executives can operate efficiently and effectively. You'll be at the heart of our company, managing schedules, coordinating meetings, handling communications, booking travel and events, and keeping everything running smoothly.

Your mission will be to enhance the productivity of our leadership team by proactively handling administrative tasks, improving processes, and ensuring seamless coordination across teams. Your work will be instrumental in driving Thatch forward and helping us build a healthcare system people love.

What you'll do

  • Manage schedules: Coordinate and optimize calendars, ensuring smooth day-to-day operations while balancing priorities.

  • Handle communications: Serve as a key point of contact for internal and external stakeholders, managing emails, calls, and correspondence.

  • Facilitate meetings: Schedule, prepare agendas, take notes, and follow up on action items to ensure progress.

  • Streamline operations: Improve administrative processes, optimize workflows, and identify ways to enhance efficiency.

  • Support travel and logistics: Arrange travel, accommodations, and itineraries for our founders (customer meetings, speaking events, staff meetings, board meetings) and team events.

  • Sensitive information management: Handle sensitive information with discretion and professionalism.

  • Cross-functional collaboration: Work closely with teams across the company to support strategic initiatives and ensure alignment.

Background we're looking for

  • 3+ years of experience as an Executive Assistant, Chief of Staff, or in a similar high-performance administrative role supporting executives at a high-growth tech company.

  • Proven ability to manage complex schedules, coordinate meetings, and handle communications with professionalism and discretion.

  • Strong organizational and time-management skills, with a proactive approach to problem-solving.

  • Excellent written and verbal communication skills, with the ability to interact effectively at all levels of the organization.

  • Ability to work independently in an ambiguous environment with little direction, prioritize tasks, and thrive in a fast-paced company.

Experience we’d be particularly excited about

  • An understanding of healthcare or fintech.

  • Familiarity with tools like Google Suite, Notion, Slack, Zoom, etc.

  • A track record of building systems from scratch and improving operational efficiency.
