Role: Executive Assistant

DESCRIPTION 

We are looking for a highly organized and proactive Executive Assistant to support senior leadership at Mojo Supermarket. This role is pivotal in ensuring the seamless operation of executive schedules, communications, and departmental coordination. The ideal candidate will thrive in a fast-paced, creative environment and bring a balance of professionalism, adaptability, and strong attention to detail. 

ROLES & RESPONSIBILITIES 

  • Manage, own, and optimize complex calendars, schedule meetings, and coordinate meeting arrangements across time zones 

  • Book domestic and international travel, dinner reservations, offsite meeting rooms, for executives and on occasion, additional team members, as per company policy. Provide detailed itineraries 

  • Prepare and organize materials for internal and external meetings, presentations, and reports 

  • Track and follow up on key action items and deadlines on behalf of the executive

  • Serve as the primary point of contact between executives and internal/external stakeholders 

  • Draft, proofread, and manage correspondence, agendas, and briefings and provide departmental administrative tasks 

  • Coordinate communication between the executive and cross-functional leads

  • Liaise with vendors, partners, and agencies to schedule calls, track deliverables, and facilitate payments 

  • Handle expense reports, invoice processing, and reconcile monthly credit card statements 

  • Organize team events, off-sites, and industry conference participation

  • Maintain organized digital files and documentation 

SKILLS 

  • 3–5 years of experience as an Executive Assistant or similar role, ideally in a marketing, advertising, or media environment 

  • Proficiency in Microsoft Office Suite and tools such as Google Workspace, Slack, and project management platforms (e.g., Asana, Trello) 

  • Exceptional written and verbal communication skills 

  • Strong time management skills with the ability to prioritize tasks and meet deadlines

  • Professionalism, discretion, and a high degree of confidentiality.
