The Role: Project Manager

We're looking for someone who can step into managing our growing project portfolio. You'll be taking over from our current operations manager, freeing them up to focus on business growth. This isn't just about managing timelines - it's about fostering creative collaboration and ensuring our clients feel heard and supported throughout their journey with us.

What You'll Actually Do Day-to-Day

  • Manage and oversee web design projects on schedule and in budget

  • Efficiently allocate resources across multiple projects and support tasks

  • Provide the "white glove" communication experience that our clients rave about

  • Turn conversations and feedback into actionable tasks

  • Manage project management software 

  • Keeping all digital assets organized

  • Ensure all tasks are assigned and completed when due

  • Coordinate with the team and clients to ensure nothing falls through the cracks

  • Handle all project-related communications and manage client support requests

  • Scheduling and calendar management

  • Follow our proven project process

  • Collaborate with the finance team to maintain project health and profitability

  • Help compile performance reports that showcase real results

Outcomes You’ll Be Responsible For

  • Ensure Project Profitability: Keep projects within budget by proactively managing resources and addressing potential overruns.

  • Manage Milestones Effectively and on time: Set, track, and meet all project milestones on schedule.

  • Oversee Team Task Completion: Monitor and follow up on team member tasks to maintain timelines and quality.

  • Resolve Support Tickets Promptly: Handle client support tickets efficiently, responding within our Service Level Agreements. 

  • Prepare and Deliver Ad-Hoc Quotes: Create and manage client-requested quotes for additional project work, maximizing acceptance rates. 

  • Maintain Post-Milestone Communication: Send follow-up emails to clients within 24 hours of each milestone to ensure satisfaction and clarity on next steps.

  • Communicate Timely with Clients and Team: Review and respond to all client and team communications in personal and shared inboxes.

  • Conduct Client Satisfaction Surveys: Send and follow up on client satisfaction surveys for key project phases, gathering valuable feedback for continuous improvement.

What The Training Process Will Look Like:

  • By the end of the first week, you’ll learn our internal process for client projects, our sales process, and get introduced to the tools we use. You’ll pick up on what's unique about what we do and how our vision and mission comes through in the work we do for our clients. 

    • On day #1, you’ll watch recordings of sessions with clients and strategy sessions with prospects and a map of our project process. You’ll share five things you learned and make suggestions on five things to improve with me via a Loom video.

    • On day #2, you’ll start to learn your way around the tools we currently use (ClickUp, Loom, Gmail, Google Drive, Google Docs, Google Calendar, WordPress, Zoom, Google Meet, and Appointlet. 

    • On day #3, you’ll begin to get a sense for how we use client interviews to create personalized messaging and strong website copy. You’ll watch recordings of our entire brand story and message interview series and learn how we take notes and ask questions by reviewing the Google Docs from the interviews. You’ll compare and contrast the recordings with the finished product and website. You’ll share five things you learned and make suggestions on five things to improve with me via a Loom video. 

    • On day #4, you’ll review 5 websites we designed and identify specific ways our vision and mission comes through in the designs of our client websites and send a loom video of the 5 things we did well on each site and 5 things we can improve upon.

    • By day #5, you’ll know your way around our Google Drive and file structure for client projects, storing files, and managing/locating and updating SOP documents. You’ll be able to locate, sort, prioritize, organize, and update those.

  • By the end of the second week, you’ll have learned how we communicate with clients and coordinate projects and tasks with team members. You’ll be able to interpret client calls and turn a recording into a shared document that 10 people could understand without them being there.

  • You’ll be able to also take those calls and/or emails with clients and turn them into tasks that you’ll assign to the right team member and be able to follow up with them until it’s done and communicate that to the client. 

  • You’ll know who each member of our team is, what they’re responsible for, and be able to assign tasks to the right person.

  • By the end of week three, you’ll understand our philosophy on web design and conversion best practices, and be able to hold all team members accountable to follow those standards.

  • Two months from now, you will be managing 50% of all projects and able to identify areas for improvement in processes.

  • Three months from now, you’ll be leading calls and sessions with clients and delegating tasks to team members while ensuring clients receive outstanding service.
