ROLE OVERVIEW:

We’re looking for a highly organised, proactive, and solutions-driven Operations Manager to take over the day-to-day running of marketing systems, team management, and internal operations.

This is a remote role supporting a fast-growing, high-profile acting studio. You’ll work directly with the founder, Brian Timoney, to execute the company vision — by managing people, projects, and platforms so he doesn’t have to.

You’ll be the integrator between vision and reality — turning strategy into action across email campaigns, telesales flows, team coordination, dashboards, and content systems.

KEY RESPONSIBILITIES:

  • Team Management

    • Directly manage Flor (Marketing/Tech Assistant)

    • Oversee contractors (video editor, telesales reps, content/social media help, ad manager)

  • Marketing Systems

    • Own the weekly email schedule – content briefs, Keap and Active Campaign coordination, delivery confirmation

    • Build, maintain, and optimise Airtable/Notion dashboards to track:

      • Leads from ads

      • Event sign-ups

      • Conversion to Bootcamp / Ultimate Acting Programme

      • Email performance

  • Campaign & Project Management

    • Run the weekly operations meeting with Brian

    • Track tasks, set timelines, follow up with team

    • Prepare key launches (free events, webinars, Florence Intensive, UAP recruitment)

  • Systemisation

    • Build SOPs (Standard Operating Procedures) for all recurring tasks

    • Automate wherever possible using Zapier/Make

  • Admin Ownership

    • Ensure telesales sheets are correctly prepared and updated

    • Maintain central asset library (Google Drive, Dropbox)

    • Quality control: nothing goes live without being checked

Social Media & Content Coordination

  • Oversee the weekly social media content pipeline (from planning to posting)

  • Manage content freelancers (writer, editor, scheduler)

  • Repurpose core content (videos, emails, IP) into short-form assets

  • Ensure consistent brand voice and timely publishing across platforms

  • Track and report weekly engagement metrics

SEO & AI Content Workflow Management

  • Coordinate SEO efforts and AI-generated content workflows with external freelancers and tools

  • Manage the publishing pipeline for blogs, articles, and long-form content

  • Maintain keyword tracking dashboards

  • Ensure content is optimised, scheduled, and published on time

  • Monitor results and provide weekly/monthly reporting on traffic, rankings, and content performance

WHAT SUCCESS LOOKS LIKE (First 30 Days):

  1. Marketing assistant is fully managed and working independently under your direction

  2. All recurring marketing tasks (emails, telesales sheets, conversion tracking) are documented and systemised

  3. A Notion or Airtable HQ is live and running with weekly dashboards

  4. Weekly ops report is delivered every Monday to Brian with key stats + blockers

  5. You’ve taken 80–90% of the operational burden off Brian’s shoulders

ABOUT YOU:

  • 3+ years experience in operations, marketing coordination, or project management

  • Excellent with tools like Notion, Airtable, Google Sheets, Keap/Infusionsoft, Zapier

  • Proven ability to manage people, solve problems, and get sh*t done

  • Excellent written communication (you’ll be overseeing marketing comms)

  • Obsessed with detail, follow-through, and creating calm out of chaos

  • Experience in online education, coaching, or creative industries a big plus
