Remote Project Management Coordinator (Product)

Role Overview

As Project Management Coordinator | Product, the contractor will support Creative Operations by coordinating operational requests that involve collaboration with Product and Engineering.

This role will help organize, track, evaluate, and provide input on the prioritization of bugs, system issues, and operational improvement requests that affect Creative Operations.

The contractor will assist with business requirements documentation, workflow mapping, lightweight process mockups, user acceptance testing coordination, validation, and related activities that help clearly define operational needs and support successful deployments.

This role also helps coordinate and support the operating rhythm between Creative Operations and Product/Engineering through recurring meetings, agendas, notes, follow-ups, and status tracking.

Note: This role does not directly manage engineers, control engineering resources, own the product roadmap, or run projects within Product/Engineering. Instead, it represents Creative Operations’ needs, helps coordinate cross-functional input, and supports progress on work that impacts operations.

Specific Scope of Services

  • Bug Tracking & Coordination: Track, organize, and maintain visibility into bugs, defects, and system issues impacting Creative Operations

  • Prioritization Support: Evaluate bugs/requests based on impact, risk, urgency, and recommend prioritization to leadership

  • Business Requirements Documentation: Draft and refine requirements, translate pain points into clear problem statements, use cases, and expected outcomes

  • Workflow Mapping & Process Mockups: Create lightweight process diagrams, mockups, and documentation to support planning and solution design

  • Cross-Functional Coordination: Partner with Product/Engineering and other teams (e.g., Customer Success) to collect input and maintain alignment

  • Meeting Facilitation: Organize and facilitate daily/weekly operations meetings, prepare agendas, take notes, track action items, and follow up

  • Operational Impact Analysis: Assess system issues and workflow challenges to identify inefficiencies, risks, and dependencies

  • Progress Tracking & Reporting: Maintain records of open issues, requests, decisions, and provide regular updates to leadership

  • UAT & Testing Coordination: Organize user acceptance testing, validation, and confirm delivered changes meet operational requirements

  • Release & Deployment Support: Coordinate readiness activities, communication, documentation, and post-release review

  • Results Monitoring: Track effectiveness of fixes and improvements, provide input on adjustments needed

  • Continuous Improvement: Identify recurring issues and recommend improvements in visibility, documentation, prioritization, and execution

  • Documentation Management: Maintain accurate records of requirements, workflows, testing outcomes, meeting notes, and process changes

  • Support & Assistance: Provide additional coordination and documentation support as requested, aligned with Creative Operations

Requirements

  • Experience in project coordination, product operations, operations support, or process improvement

  • Strong written and verbal communication skills; ability to translate operational needs into clear documentation and action items

  • Strong organizational skills and attention to detail

  • Ability to coordinate multiple workstreams across cross-functional teams

  • Experience with business requirements documentation, workflow mapping, and process design

  • Experience coordinating user acceptance testing and validation efforts

  • Ability to assess business impact and support prioritization discussions

  • Ability to work effectively across operations, customer-facing teams, and technical teams without direct authority

  • Strong analytical and problem-solving skills

  • Ability to work independently, manage ambiguity, and maintain momentum

  • Proficiency with Jira, Confluence, Figma, and standard collaboration tools

  • Experience supporting cross-functional initiatives impacting operational teams preferred

  • Familiarity with creative operations, service delivery environments, or production workflows preferred
