Job Overview:
The Service Coordinator will be responsible for the day-to-day scheduling, client communication, and coordination of field crews. This is a crucial role that ensures smooth and timely service delivery to our clients. You’ll be the key point of contact for clients, managing service expectations and ensuring that crews are properly scheduled, equipped, and ready to meet our high standards of service.

Key Responsibilities:

  • Crew Scheduling & Coordination:

    • Schedule and assign daily tasks for field crews based on customer needs and job priority.

    • Coordinate logistics, including travel arrangements, accommodation, and transportation for crews working on out-of-town jobs.

    • Ensure that crews have the right equipment, tools, and materials for each job before they depart.

    • Track crew progress and performance throughout the day to ensure timely completion of services.

  • Client Communication & Account Management:

    • Serve as the primary point of contact for clients, ensuring they are informed of schedules, changes, and expectations.

    • Communicate service details, job scope, arrival times, and any special instructions to clients and field crews.

    • Address any client questions, concerns, or issues promptly, ensuring high levels of satisfaction.

    • Build and maintain strong client relationships to ensure repeat business and long-term partnerships.

  • Scope of Work & Job Preparation:

    • Ensure crews are clear on the scope of work for each project, including specific job requirements and client expectations.

    • Coordinate with project managers or supervisors to ensure accurate job details and timelines are communicated to all team members.

    • Monitor work progress and make adjustments to schedules or resources as needed to stay on track.

  • Equipment & Resource Management:

    • Coordinate equipment maintenance and repairs to ensure crews have the tools they need for the job.

    • Track inventory of supplies and equipment and ensure proper allocation and use.

    • Ensure that safety protocols are followed when using or transporting equipment to and from job sites.

  • Administrative Support & Reporting:

    • Maintain accurate records of daily crew schedules, client communications, and job progress.

    • Ensure that all necessary paperwork is completed, including timecards, job reports, and client invoices.

    • Report on the status of service jobs, including any issues or delays that impact project completion.

  • Problem-Solving & Issue Resolution:

    • Proactively address any issues that arise during job execution, whether with crews, equipment, or client expectations.

    • Act quickly to find solutions that minimize disruptions and maintain customer satisfaction.

    • Ensure all service disruptions or delays are communicated to clients in a timely manner and resolved effectively.

Qualifications:

  • Experience:

    • Previous experience in service coordination, project management, or operations support, ideally in the construction, concrete, or industrial services sectors.

    • Strong understanding of scheduling, logistics, and coordination in a field-service environment.

  • Skills & Abilities:

    • Exceptional organizational and multitasking abilities.

    • Strong communication skills, both verbal and written, with the ability to effectively interact with clients, field crews, and management.

    • Ability to solve problems quickly and efficiently, with a focus on maintaining client satisfaction.

    • Proficiency in office software (e.g., Microsoft Office, Google Workspace) and scheduling software.

    • Familiarity with safety protocols and best practices in the construction and concrete industry is a plus.
