Role Overview

We are seeking a strategic, data-driven Operations Manager focused on Workforce Capacity Planning to optimize staffing and resourcing across our growing Support and Lab Ops teams. You will ensure we have the right people, in the right place, at the right time—delivering timely, empathetic support to millions of Function Health members.

This highly cross-functional role is ideal for someone who thrives in fast-paced environments, brings operational rigor, and is excited by the challenge of scaling service delivery in an industry defining company. You'll partner closely with CX, Clinical Operations, Growth, Finance, Product, and Data teams to forecast demand, optimize workflows, and ensure seamless member experiences.

Key Responsibilities

Workforce Management & Capacity Planning

  • Design and maintain workforce models to forecast staffing needs across Support and Clinical operations based on demand trends, seasonality, product launches, and other inputs.

  • Develop and lead scheduling, headcount planning, and staffing allocation strategies that balance efficiency with member experience.

  • Collaborate with data science and analytics partners to refine predictive models and build dashboards for real-time operational visibility.

  • Drive resource planning for new initiatives, including shift coverage planning, skill-based routing, and multi-channel support (email, chat, phone).

  • Work closely with Product, Engineering, and Clinical teams to understand feature rollouts and upcoming changes that may impact volume and staffing needs.

Operational Optimization

  • Partner with Ops leadership and enablement teams to identify and prioritize process improvements that enhance team productivity.

  • Proactively flag capacity risks and partner with recruiting, HR, and leadership to scale teams effectively.

  • Implement and own workforce planning tools and systems, ensuring reliability and accuracy.

  • Partner with AI and automation teams to identify opportunities for efficiency and support deflection.

Qualifications/skills

  • 5+ years of experience in workforce management, business operations, or capacity planning—ideally in a tech-enabled support or clinical operations environment.

  • Experience scaling support functions in high-growth, customer-obsessed companies; experience in healthcare or digital health is a major plus.

  • Strong modeling skills and comfort with large datasets (e.g., Excel, SQL, Looker/Tableau); ability to translate data into actionable insights.

  • Familiarity with WFM tools and help desk platforms (we use Intercom).

  • Ability to work cross-functionally and influence teams without direct authority.

  • Exceptional organizational and communication skills.
