HubSpot Reports & Workflow Specialist

ROLE OVERVIEW

We're looking for someone who genuinely knows HubSpot β€” not someone who has "used it." The role has two halves: building the reports and dashboards clients make decisions from, and building and untangling the workflows their sales, support, and marketing operations actually run on.

On reporting: a client opens their dashboard and asks, "is this 292 a subset of this 565?" You inspect how the report was actually built β€” the filters, the count method, whether it's keyed on create date β€” and tell them what they're really looking at, including where the number can't be trusted.

On workflows: you'll inherit automations built by a client's staff, a previous agency, or a contractor who's long gone β€” overlapping, undocumented, sometimes silently switched off. You work out what's actually running and what's safe to change.

That is the core of this role. Everything else is a bonus.

DAY-TO-DAY RESPONSIBILITIES

  • Build custom HubSpot reports and dashboards to client specification β€” sales pipeline, support and agent productivity, onboarding, marketing performance, and executive roll-ups

  • Translate vague business questions into concrete reports. "How many people requested a reservation but never signed an agreement, so my team knows who to call?" becomes a funnel drop-off report plus a matching list β€” kept one-to-one so the client can report on it and email in

  • Interrogate the data before you build. Recognize when the metric a client is asking for isn't supported by how their data is structured, say so, and propose a workable proxy instead of quietly shipping a misleading number

  • Explain reports to non-technical stakeholders β€” what's included, what's excluded, and where the number could be wrong

  • Build, audit, and troubleshoot HubSpot workflows: enrollment criteria, branching logic, ticket and deal automation, internal notifications

  • Audit inherited portals β€” work out what's actually running, what conflicts with what, and what's safe to switch on or delete

  • Diagnose automations that are misfiring β€” runaway enrollments, duplicate records, workflows triggering on the wrong events β€” and fix the root cause

  • Set up and maintain pipelines, deal and ticket stages, custom properties, and object associations

  • Build revenue and traffic-source attribution reporting, and understand its limits (original source drill-downs, UTM gaps, deal-based vs. company-based revenue)

  • Clean up what makes reporting unreliable in the first place: static vs. active lists, duplicate companies, inconsistent properties, subscription types

  • Join client calls β€” with our founder, and sometimes on your own β€” to scope requests, explain trade-offs, and give practical guidance in real time

  • Document your work in Claude, and log every working session so what you learned becomes shared company knowledge instead of sitting in your head. Short Loom walkthroughs where a client needs to see it

  • Test and validate everything before it goes live

  • Work async via Claude, Trello, Google Chat, and Loom

SKILLS & EXPERIENCE

Strong β€” this is what we are actually hiring for:

  • HubSpot custom reports and dashboards

  • HubSpot workflow automation

  • HubSpot data model: objects, properties, associations, pipelines, lists

  • Ability to explain your work clearly to a non-technical client

Bonus β€” nice to have, we may train you on some of these if you don’t have the skills:

  • ActiveCampaign

  • Attio

  • Pipedrive

  • Zapier / n8n

  • GA4 and Google Tag Manager

  • Looker Studio, Power BI, or Tableau

  • Salesforce or other CRMs

  • API integrations

If you know HubSpot deeply, the rest is learnable. We would much rather hire serious HubSpot knowledge and teach you ActiveCampaign than the other way around.

HOW WE WORK WITH AI

We run our business inside Claude. We use it to research, plan, check our own work, troubleshoot client problems, and write documentation β€” and at the end of every working session we log what happened, so it becomes shared company knowledge rather than sitting in one person's head.

You don't need to arrive an expert. We'll show you how we work, and you'll pick it up quickly. But you do need to be genuinely open to it. If you're skeptical of AI tools or would rather not use them, this role will frustrate you and we aren't the right fit for each other.

REQUIREMENTS

Genuinely open to using AI in your daily work β€” we run our operation inside Claude, and this isn't optional

  • 3+ years of hands-on HubSpot experience. If you're able to show examples of reports or dashboards you've built, that will strengthen your application β€” screenshots or a short walkthrough are ideal. We know a lot of client work is confidential, so this is a plus, not a requirement

  • Fluent English (spoken and written)

  • Based in LATAM or North America

  • You set your own schedule, but the work generally needs to happen Monday-Friday during Eastern Time business hours β€” client calls and same-day back-and-forth are a regular part of the job

  • Able to join Zoom calls with camera on

  • Reliable high-speed internet (80 Mbps or higher)

  • Open to using an Upwork account and working exclusively under Growth Geyser's agency for assigned projects (we handle client communication, contracts, and billing β€” you focus on execution)

HOURS, RELIABILITY & GROWTH

This is a part-time contract role, typically 10-20 hours per week to start. If you deliver consistently, more work follows β€” that's how people on our team have grown their hours, and it's entirely in your control.

In exchange, there are a few things we genuinely depend on:

  • On-time delivery. If a deadline is going to slip, we need to hear it from you before it slips, not after

  • Fast, consistent communication. If we message you and you go quiet for days, this won't work out

  • Thorough QA. Review and test your own work before it comes to us for final review or goes to a client

That last one matters more than anything else on this list. This work is technical and the details are unforgiving β€” a report built on the wrong filter, or a workflow that double-enrolls contacts, costs a client real money and costs us their trust. Half-decent doesn't survive contact with a live CRM.

  • Comfortable working independently with minimal supervision
