Administrative Assistant

We're looking for a proactive Administrative/Personal Assistant to work closely with VPs across our tech and product verticals, streamlining their day-to-day operations and optimizing their time for more strategic initiatives. This is an exciting opportunity to be at the heart of a dynamic and fast-paced company, enabling leadership to focus on driving growth and innovation.
We’re looking for someone who:
Demonstrates exceptional organizational skills and attention to detail.
Is a proactive problem-solver, anticipating the needs of VPs before they arise.
Possesses excellent communication skills, both written and verbal.
Thrives in a fast-paced environment and can manage multiple priorities effectively.
Maintains a high level of discretion and confidentiality.
Is adaptable and can quickly adjust to changing circumstances and priorities.
Has a collaborative mindset, fostering strong relationships across teams.
What you'll be doing:
Manage the complex scheduling needs of VPs, coordinating, prioritizing meetings across multiple departments and teams.
Organize all travel arrangements, including flights, accommodations, and ground transportation, ensuring efficiency and cost-effectiveness.
Plan and execute team events, offsite meetings, and quarterly sessions, handling logistics from start to finish.
Assist with day-to-day administrative support such as processing expense reports, managing invoices, and approvals.
Act as a point of contact for ongoing projects, ensuring teams are aligned.
Serve as the "glue" between VPs, coordinating communication and task tracking across teams to keep projects moving forward.
Bonus points if you:
Have experience working in a dynamic, high-growth tech or product environment.
Are proficient in productivity tools such as Microsoft Office and Notion.
Demonstrate the ability to think strategically and anticipate the needs of leadership.
