Senior Editorial Coordinator

Reports to Principal Editorial Coordinator/Editorial Manager

Job Summary

Providing proactive, effective database management, administrative support, and editorial assistance across a range of client deliverables and accounts.

Essential Duties & Responsibilities

  • Providing day-to-day support on all types of editorial projects

  • Providing accurate and timely database management and support for account teams and clients (Datavision, iEnvision, Veeva, FUSE)

  • Ensuring quality control is paramount across all materials produced by OPEN Health

  • Collaborating with appropriate members of the OPEN Health team (medical & scientific, client and creative services) on a wide range of projects

  • Championing editorial processes and acting as a source of information on these processes for colleagues, such as booking and briefing of work, and estimated timelines/budgets for all job types

  • Contributing to the development and maintenance of internal editorial processes and database management guidelines

  • Identifying and implementing ideas, concepts, or suggestions to provide added value to the team and across accounts, participating in discussions and providing solutions

  • Coaching/mentoring junior team members on editorial excellence and all aspects of editorial coordination, including reviewing work

  • Identifying unmet training needs and developing and delivering training to the wider editorial and writing teams

  • Learning tasks outside of job role that can help collaboration with Editors, such as splitting files for submission and page proofs

  • Maintaining an understanding of the various client brands and therapy areas

  • Keeping abreast of all relevant industry guidelines

  • Participating in internal status meetings, and external meetings where required

  • Flagging potential time or budget issues and out of scope work as required to line manager or resource coordinator

  • Covering team leadership and resource management for Principal Editorial Coordinator during periods of team absences

  • Providing effective line management, supporting the personal development of assigned line reports, and ensuring appropriate objectives are in place and reviewed at appropriate intervals

  • Where appropriate, assisting in the recruitment process, including screening offsite tests, attending interviews and liaising with Principal/Editorial Manager

  • Submitting accurate and timely timesheets and expense records, and monitoring line reports' timesheets

Experience, Skills, and Qualifications

  • Motivation, passion and dedication

  • Educated to degree level in Sciences or English Language (post-graduate qualifications desirable)

  • Impeccable attention to detail

  • Excellent written and verbal communication skills

  • Strong interpersonal skills with the confidence to liaise and build relationships with multiple stakeholders

  • Excellent time management and organizational skills, with a proven ability to multitask, prioritize workload and meet deadlines in a fast-paced and dynamic environment

  • Strong project management and organizational skills with a proven ability to effectively manage multiple tasks and changing deadlines. Ability to manage junior colleagues’ workload

  • Very confident in MS365, including PowerPoint, Word, and Outlook; able to train junior team members on this software

  • Excellent database competency (eg Datavision, iEnvision, Veeva)

  • Very good understanding of the purpose/aims of healthcare marketing/communications

  • Significant experience in a similar role

  • Demonstrated aptitude for line management
