Remote Property Management Operations Coordinator

Full-Time | 40 Hours/Week | 9:00 AM–5:30 PM Pacific Time | $1,750 USD/Month Starting Pay

We are a U.S.-based property management company looking for an exceptional Remote Operations Coordinator to join our team long-term.

This is not a part-time position, side job, or flexible-hours virtual assistant role.

You will work 40 hours per week during our U.S. business hours of 9:00 AM–5:30 PM Pacific Time. You may live anywhere in the world, but you must be comfortable making these hours your permanent working schedule, including adjusting with Pacific Time for daylight-saving-time changes.

We are looking for someone mature, dependable, highly organized, extremely comfortable with computers, and capable of taking ownership of important business processes.

What You'll Do

You will help coordinate and eventually take ownership of administrative and operational processes throughout our property management company.

Responsibilities include:

  • Coordinating tenant move-ins and move-outs

  • Following and managing detailed operational checklists

  • Marketing available rental properties

  • Assisting with new owner onboarding

  • Coordinating owner offboarding

  • Entering, maintaining, organizing, and auditing business data

  • Collecting tenant and property insurance documentation

  • Tracking insurance expirations and renewals

  • Monitoring company email inboxes and ensuring messages are handled

  • Assisting with incoming telephone calls when our receptionist is already assisting another caller

  • Tracking deadlines and outstanding tasks

  • Monitoring processes to ensure required work is completed on schedule

  • Following up with team members when their assigned tasks are becoming overdue

  • Completing certain tasks yourself when necessary to keep a process moving

  • Identifying missing information or incomplete work before it becomes a problem

  • Maintaining accurate records and documentation

  • Learning new software and systems quickly

  • Helping improve our processes as you gain experience

A major part of your job is making sure things don't fall through the cracks.

Required Qualifications

You must have:

Property management experience is helpful but not required if you are an exceptional operations person and fast learner.

Work Hours — PLEASE READ CAREFULLY

This requirement is non-negotiable.

Your regular working hours will be:

9:00 AM–5:30 PM U.S. Pacific Time, Monday through Friday.

You must be actively working and available during these hours.

We are looking for someone who has intentionally chosen a work schedule compatible with U.S. Pacific business hours—not someone who plans to "try to adjust."

Work Tracking & Accountability

This is a full-time, behind-the-computer position. During scheduled working hours, team members are expected to be actively working and available.

We use work-tracking software during working hours that monitors computer activity, including screen activity.

Applicants should understand and be comfortable with this requirement before applying.

The purpose of our tracking system is to provide accountability for a fully remote workforce and verify that scheduled working hours are being worked.

If you are uncomfortable using company-required work-tracking software or having your work-screen activity monitored during scheduled working hours, this position will not be a good fit.

Remote Office Requirements

Because this is a full-time remote operations position, your home-office infrastructure must be highly reliable.

You must have:

  • Primary internet connection of 100 Mbps or faster

  • A separate backup internet option

  • Backup power sufficient to continue working through normal local power outages

  • Reliable computer equipment

  • Quality headset/microphone for telephone calls and meetings

  • Private, dedicated workspace

  • Quiet professional environment during the entire workday

Your workspace must be suitable for professional telephone conversations and video meetings.

There should not be recurring background noise from animals, television, family conversations, other people taking calls, or household activity.

We understand that genuine large-scale regional disasters and emergencies can occur. Outside of exceptional events, however, dependable connectivity, electricity, equipment, and workspace are considered part of the requirements of this remote position.

Compensation & Benefits

Starting compensation: $1,750 USD per month

Payment is made twice per month through Wise.

After successfully completing the 90-day training and probationary period, you will be eligible for our paid-time-off program.

Between company holidays and personal paid time off, employees receive 20 paid days off per year.

Our Interview & Selection Process

This will be a multi-step interview and selection process.

The computer skills assessment is designed to evaluate practical ability—not simply what is listed on a résumé.
