Real Estate Transaction Coordinator

📋 Position Summary

We're hiring a Real Estate Transaction Coordinator to manage the flow of deals from initial inquiry to contract to close.  You'll handle inbound inquiries, organize paperwork, communicate with buyers and sellers, and keep every transaction moving forward.  While this is not a traditional sales role, you will respond to prospects and questions,  champion our properties, and support marketing efforts.

  • Respond to inbound calls, emails, and website leads from prospective buyers.

  • Prepare contracts and manage documentation through closing.

  • Coordinate with title companies, sellers, buyers, surveyors, and the internal team.

  • Track deadlines and ensure smooth, on-time closings.

  • Manage CRM updates, land records, and inventory of properties.

  • Support marketing tasks like property listings and email marketing.

  • Maintain accurate property records and inventory data.

  • Ensure compliance with state and local regulations.

🔍 Realistic Job Preview

Every day is different here. We have the resources, systems, and disciplines of a much larger company, yet we are small enough that you’ll play a significant role in our success. There is very little office politics, and no burdensome bureaucracy; you will be given as much support as you need and as much autonomy as you can handle.  Your role is essential; you are expected to perform and execute efficiently and effectively. Attention to detail is paramount.

  • Answer emailed questions and web submissions

  • Respond to realtor phone calls

  • Follow-up with prospects

  • Prepare contracts

  • Update a workflow in our CRM

  • Communicate with third-party title companies

  • Track earnest money deposits

  • Send closing reminders to buyers and sellers

  • Review and coordinate closing packages

  • Coordinate with a land surveyor

  • Contact the county tax assessor

  • Post a property on a listing site

  • Upload property photos to listing platforms

  • Update property status across multiple platforms

  • Audit our property listings

  • Research property comps and pricing

  • Coordinate with attorneys on legal documents

  • Contact mobile home companies

  • Resolve title issues or survey discrepancies

  • Handle cancellation paperwork and refunds

🎯 Requirements

  • Real estate or title experience is required

  • Highly organized and detail-oriented; thrives with checklists, deadlines, and processes

  • Comfortable using Google Workspace (Docs, Sheets, Drive) and CRM tools

  • Strong, direct communication skills (email, phone, and text)

  • A polite, confident, and clear phone voice

  • Fluent in English

  • Self-motivated with a bias for action and a batteries-included, can-do attitude

Here is the outline of the whole application process, so you know what to expect:

  2. Several video interviews (between 15-60 minutes long) where we try to get to know you better and give you a chance to get to know us, as well as talk about your previous experiences and future goals.

  3. Top candidates will be invited for a test project.

  4. If that goes well, we will make an offer and continue working together!
