As a high-growth company with 60 employees and annual revenues of approximately $10 million, we are seeking a highly skilled Office Manager / Business Manager to oversee our administrative operations and business management activities.

Job Overview:
The Office Manager / Business Manager will be responsible for overseeing the day-to-day administrative and operational activities of the business. This is a high-level position requiring exceptional organizational skills, strong leadership abilities, and a thorough understanding of business operations. The ideal candidate will manage a team, handle a variety of business functions, and ensure that all aspects of the business operate efficiently.

Key Responsibilities:

  • Operational Management:

    • Oversee and streamline the daily operations of the office to ensure business functions run smoothly.

    • Manage and supervise administrative staff, ensuring tasks are completed in a timely and efficient manner.

    • Act as the liaison between different departments to ensure effective communication and workflow.

    • Create and implement office policies and procedures to improve efficiency and productivity.

  • Financial Oversight:

    • Assist in budgeting, forecasting, and managing the company’s financial operations, including processing invoices and vendor payments.

    • Work closely with the accounting team to ensure timely and accurate financial reporting.

    • Ensure compliance with company policies, procedures, and legal regulations regarding financial transactions.

  • Human Resources Management:

    • Collaborate with HR on recruitment, onboarding, and training of new staff.

    • Assist with employee performance management, benefits administration, and employee relations.

    • Maintain employee records and ensure adherence to labor laws and company policies.

  • Project & Workflow Management:

    • Manage internal and external projects to ensure deadlines and quality standards are met.

    • Ensure that workflow processes are aligned with business goals and improve overall performance.

    • Coordinate meetings, events, and any other business-related activities.

  • Administrative Support:

    • Oversee office supplies, equipment, and inventory management.

    • Handle executive-level administrative tasks, including managing schedules, booking travel, and preparing reports.

    • Coordinate with other departments to ensure smooth office operations and fulfillment of business obligations.

  • Strategic Business Planning:

    • Collaborate with the executive team to implement and manage business strategies, policies, and long-term goals.

    • Contribute to the development of business plans, market analysis, and performance metrics.

    • Identify opportunities for process improvement and provide recommendations to senior leadership.

Qualifications:

  • Proven experience in an office management or business management role, with at least 5+ years of experience in a similar position (preferably within the construction, industrial, or related sectors).

  • Strong knowledge of business operations, office management, and administrative systems.

  • Excellent leadership and people management skills, with experience managing a team of administrative staff.

  • Solid understanding of financial management, budgeting, and financial reporting.

  • Strong communication, interpersonal, and negotiation skills.

  • Ability to multitask, prioritize, and thrive in a fast-paced, high-growth environment.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and familiarity with business management software (ERP, HRIS, etc.).

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.
