Position Summary 

We are seeking an Executive Assistant to join our growing Organization and Scaling team. This position reports to the Chief of Staff / VP of Operations and Planning.  

In this newly created position, the Executive Assistant is principally responsible for supporting the administrative work of the Extended Leadership Team and managing the calendars, travel and expenses of the Co-Founder and the CoS / VP of Operations and Planning. The Executive Assistant will work closely with the Executive Administration Partner to ensure alignment between the CEO and the Extended Leadership Team. The Executive Assistant must have excellent communication and organization skills. 

What You’ll Do

  • Calendar, Travel, and Expense Management:

    • Provide sophisticated calendar, travel and meeting management for the Co-Founder and the CoS / VP of Operations and Planning.

    • Prioritize a high volume of inquiries and requests and effectively troubleshoot conflicts; independently seek out information, apply initiative and make appropriate judgements and recommendations, delegate items and escalate as appropriate  to ensure smooth day-to-day engagements.

    • Work closely with the Co-Founder and the CoS / VP of Operations and Planning to keep them well informed of upcoming commitments, responsibilities, and actions, following up appropriately.

    • Anticipate the Co-Founder’s and the CoS / VP of Operations and Planning’s needs in advance of meetings/conferences/engagements and ensure briefing materials are received when needed. 

    • Manage expenses for the Co-Founder and the CoS / VP of Operations and Planning.

    • Provide backup/leave coverage for the Executive Administration Partner. 

    • Support the scheduling of leadership team activities. 

  • Extended Leadership Team Support:

    • Support the Extended Leadership Team, helping with scheduling/meeting logistics to execute on business cadence.

    • Lead and coordinate logistics for off-site events.

    • Be the on-site point person for off-site events.

    • Be the acting secretary for leadership meetings.

  • Proficiency with the Google ecosystem

Preferred 

  • Content knowledge or interest in climate, renewable energy, and/or building electrification. 

Benefits

Compensation and Benefits

The salary range for this position is $65,000 - 90,000 USD, commensurate with experience. Comprehensive benefits package that includes 100% employer-paid health, dental, and vision insurance for employees (and their families). Employees are able to enroll in 401k retirement plan and are eligible for a 3% automatic contribution and up to a 3% employer match on 401k contributions. Employees are also eligible for pre-tax transportation benefits. Employees will receive 160 hours of vacation time, 80 hours of health leave, up to 2 days of casual leave, and 20 hours of volunteer leave annually. Employees will also receive 13 paid holidays throughout the calendar year (15 days during Presidential and Congressional elections). We have an office closure between Christmas and New Year. Employees are eligible for 12 weeks of paid family and medical leave after 90 days of employment. Regular, full-time employees and part-time employees are eligible to take up to sixteen weeks of parental leave, in all cases related to birth, adoption, or foster care starting from the first day of employment.
