Senior Operations Coordinator - 12 Month Contract

About the Team:

We launched a new Professional Services business line in early 2018, Wave Advisors, it’s a fast-growing business team and we are looking to accelerate growth even more! The Wave Advisors team partners with small business owners in managing their books and making more time for them to focus on what matters most - their business! The team acts as a trusted advisor to small business owners in managing their finances.

About the role:

As a Senior Operations Coordinator, you will be the backbone of the team that ensures our day-to-day operations run smoothly. You will ensure our teams have 100% accurate information and the tools they need to provide small business owners (our customers) with the best possible experience. This will take up 70-80% of your time as this role was designed to let you explore other aspects of Operations to learn more about how to scale a business.

To be successful as a Senior Operations Coordinator, you should be able to resolve problematic situations efficiently and have excellent communication and organizational skills.

Here’s how you will make an impact:

  • Day-to-day emails

  • Respond to and action inquiries/requests from other Wavers

  • Speak with small business owners (our customers) about service feedback, billing, and other administrative duties as needed

  • Assist in improving our operation team

  • Assist in increasing revenue and retention

  • Other duties as assigned

Here’s what you will gradually learn in this role over time:

  • Customer Lifecycle Management

  • Lean Startup method of scaling a business

  • Converting qualitative information into quantitative data points for analysis

  • Customer Experience (CX) Management & Measurement

You’ll thrive here if you have:

  • At least 1 year of experience in a customer service role.

  • At least 1 year of experience using HubSpot CRM.

  • Stellar communication skills. An active listener and relationship builder, you’re customer-focused and capable of building quick and earnest rapport with prospective clients.

  • Ambition. You love to learn by taking initiative and achieving outstanding results. You have a positive attitude and a desire to grow and excel in everything you do.

  • Resourcefulness. You might not have all the answers (that’s OK!), but you know where to look or how to find them and when to ask for help.

  • Time Management & Organizational Skills. Punctual and accountable, ability to multitask and prioritize.

  • Tech Savviness. You’re very comfortable using spreadsheets and can pick up new software quickly.

  • Adaptability. Can easily adapt to new ideas.
