About Winning Ivy Prep

Winning Ivy Prep is a boutique, high-touch college admissions strategy firm serving ambitious families nationwide. We run two core programs: College Planning (Grades 9–11) and College Essay (senior year). Both are high-touch, deadline-driven, and built on the belief that every student and family deserves a consistent, exceptional experience.

The Role

This is a builder role.

We need someone who can design and build the infrastructure and systems that ensure our operations team can run our programs smoothly. You'll work in Airtable, Zapier, and Google Workspace to create visibility, automate workflows, and solve operational problems.

You'll report to the CEO and work closely with our Operations Specialist — the person who will use the systems you build every day.

Tech Stack

Airtable (required) — tables, views, relationships, automations
Zapier and/or n8n (required) — connecting tools, automating workflows
Google Workspace (required)
AI fluent — you stay current on no-code AI tools and know how to apply them to real problems

What You'll Do

Build and maintain the systems that run our programs (Airtable, Zapier, Google Workspace)
Create visibility into student progress — so we always know who's on track and who needs attention
Automate workflows — so the team spends less time on manual updates
Set up tools that make coaches' jobs easier
Improve systems over time as we learn what's working and what's not

First Projects

Build a system that tracks student progress and flags issues automatically
Set up an internal chatbot so coaches can self-serve answers
Create a searchable archive of past work to speed up prep

Who You Are

Builder first. You take a messy problem and build a working system from scratch.
Precise. Small mistakes compound — you catch them before they do.
Resourceful. You figure things out without waiting for direction.
Clear communicator. You can explain what you built and why.
Fluent in professional English (C1/C2).

Nice to Have

Some ops sense — you understand why the system matters, not just how to build it.
Experience in a small, fast-moving remote team.
