Senior Executive Assistant & Customer Ops VA

NOTE: This is not an entry level position! You must have at least 3 years of experience

The Role

This is not your typical VA job. I’m the founder of a fast-moving, high-growth e-commerce company in the U.S., and I’m looking for a sharp, proactive, detail-obsessed generalist who can act as a junior version of me. You’ll handle a little bit of everything - from cleaning up product catalogs in Shopify to jumping in on customer support, editing product photos, coordinating with vendors, and even helping with personal life admin.

You’ll get a front-row seat to how I operate, and your job is to take as much off my plate as possible. I don’t want to micromanage you. I want someone who can think, learn fast, Google smart, use ChatGPT, and figure it the heck out. If you’ve ever felt underutilized because you’re actually smarter than your boss, this might be the best job you’ll ever find.

What You’ll Do

  • Assist with daily operations, task management, and follow-ups

  • Handle light Photoshop tasks (e.g. product photo edits, backgrounds, cropping)

  • Catalog and clean up Shopify product listings, tags, metafields

  • Shadow me (founder/CEO) and anticipate tasks, clean up my inbox, and follow up with vendors

  • Customer service: 5–10 hrs/week helping with tickets (especially during peak season)

  • Some sales - follow up with customers on their interests

  • Personal tasks: booking appointments, calling vendors (e.g. find an upholsterer, schedule repairs)

  • Handle random sh*t that just needs to get done

  • Resourceful AF. You use tools like ChatGPT and Google to figure out answers.

  • Emotionally intelligent. You know when to ask for help and when to just get it done.

Must Have Skills

  • Shopify admin experience

  • Experience in e-commerce or retail

  • Photoshop (you know your way around layers, cropping, backgrounds, cleaning up images)

  • Strong English and copywriting skills

  • Able to take and pass tests on TestGorilla (e.g., Attention to Detail with ?90%)

  • You have worked at a top-tier EA company such as Athena, Shepherd, Wing Assistant

  • A deep curiosity about AI tools and a willingness to trial and learn new tools.

Nice-to-Haves

  • Experience with customer support (Gorgias, Zendesk, or similar)

  • Familiarity with Airtable or Coda

Pay & Perks

  • $1300–$1600/month USD, DOE

  • Annual bonus based on performance
