The National Security Technology Accelerator (NSTXL) harvests innovative technology from the commercial and non-defense marketplace, ensuring the development of better, cheaper, and faster defense capabilities. We offer a unique and simplified approach to rapidly develop, demonstrate, and assess prototypes that address a range of operational and installation needs, from individual Warfighter technology up to large-scale installation projects. NSTXL delivers technology to the Warfighter by serving as a one-stop shop to match government requirements with innovative private-sector and academic solutions.
Each of our OTAs is a distinct member-based not-for-profit with its own membership that is managed and serviced by NSTXL. Currently, our OTAs have more than 800 corporate, non-profit, educational, and financial institution members. For these members, NSTXL offers opportunities to bid on government contracts, education and training, and live/virtual forums on a wide variety of topics.
Job Description
As a Membership Coordinator, you will play a vital role in managing and maintaining the organization's membership base while ensuring a positive and engaging experience for all members. To excel in this role, you should possess a combination of skills, experience, and personal qualities that enable effective communication, organization, and relationship-building with a heavy emphasize on member data management.
Responsibilities
Promptly respond to HubSpot chat, membership email, and phone call requests for support.
Liaison between different departments when their expertise is necessary to address specific member requests.
Manage the membership application processing including approvals and account creation as well as ongoing membership maintenance related to POC changes, certification updates, renewals, and account issues.
Ensure all membership contact data and company data is 100% accurate, keeping all required fields up to date and ensuring all workflows and CRM data is accurate.
Maintain and optimize all member HubSpot properties that trigger workflows.
Maintain member data, assuring integrity of member company and contact data.
Manage Community conversations, vetting, removals, and updates.
Assist with monthly membership education webinars and office hours, focusing on the needs of new entrants to the defense industrial base.
Maintain the membership events calendar and communications.
Support the Membership Manager in providing weekly, monthly, quarterly, and annual reports for each program.
Track support cases by type, escalate any technical issues that need immediate attention
Remote In these states - AL, AZ, DC, FL, IN, NC, NH, NM, OH, OR, PA, TN, TX, UT, VA, WY
Job requirements
Qualifications:
Bachelor’s Degree in marketing, communication, or related field.
1-3 years of experience managing a membership ecosystem or customer success network.
Preferred Qualification
Experience working in a support role, responding to customer inquiries.
A customer-centric mindset with the ability to provide exceptional service to members, addressing their needs and inquiries promptly and professionally.
Excellent written and verbal communication skills.
Highly organized with a strong attention to detail when processing membership applications, renewals, and payments.
Effective time management skills to prioritize tasks, manage multiple projects, and meet deadlines.
Collaborative mindset with the ability to work effectively within cross-functional teams to achieve membership goals and organizational objectives.
Strong interpersonal skills to foster positive relationships with members and resolve any concerns effectively.
Ability to both collect data and use it to tell a story.
Enthusiasm for our mission and vision.
Proficiency in using membership management software, databases, and Microsoft Office suite (Excel, Word, PowerPoint)
Knowledge of marketing automation, CRM and CMS, such as HubSpot or Wordpress and reporting platforms.
Travel:
Travel for this position is estimated at 15%
