VP, PMO & Business Ops

What you’ll be doing:

The VP of PMO & Business Operations will chart the course to establish and lead a centralized Project Management Office. The VP will also plan, direct, coordinate, and oversee day-to-day operations that support critical enterprise services, such as Resource Management, Contracting/Legal, Vendor Management, and M&A. As the foremost expert in the company on Project Management and Business Operations, this role will also be expected to lead special projects sponsored by the C-suite.

Project Management Office (50% of the time)

  • Build, lead, and grow a cohesive, high-performing team of project managers that partners with stakeholders from initial conception and strategic planning sessions through successful execution and continuous improvement of both internal and client-facing projects.

  • Provide leadership, coordination, strategic direction and management of all PMO associated resources and functions. Establish best practices, processes, systems, and policies (including supporting SOPs, SLAs, KPIs) ensuring consistent execution and management of all projects.

  • Manage, coach and mentor PMO team members at various levels to build a cohesive, best-in-class project management function. Lead recruitment, selection, skills and competency assessment, performance management, certification, training, and career planning for the PMO.

  • Define the PMO’s framework, standards, tools, methodologies, and playbooks for end-to-end project planning & management lifecycle: Scope, Schedule, Budget, Risks, Resources, Stakeholders, Communication, Quality, Procurement, and Change.

  • Build strong relationships with the PMO’s clients and stakeholders to foster strong cooperation, coordination, collaboration, and communication across the organization.

  • Monitor PMO’s day-to-day operations, progress, and performance. Manage internal and client escalations and ensure overall success across all of the predetermined KPIs.

  • Create accurate statements of work (SOWs), plan costs / budgets, and resources needed.

Business Operations (50% of the time)

  • Lead special projects and build business cases to introduce new enterprise services for Resource Management, Contracting/Legal, Vendor Management, and M&A functions. Define supporting best practices, processes, systems, tools, and policies (including SOPs, SLAs, KPIs).

  • Interview, hire, train, and mentor the operations management team.

  • Ensure that daily business practices meet operational goals and produce maximum efficiency.

  • Provide regular performance updates to the senior leadership team.

  • Continuously evaluate and analyze business operations, systems, processes, and performance data to identify new opportunities that will improve efficiency and effectiveness of the organization in alignment with strategic business goals.

  • Work closely with the senior business partners to create, implement and roll out plans for operational processes, internal infrastructures, reporting systems and company policies that are designed to foster growth, efficiency, and profitability.

Requirements:

  • PMP, PMI-ACP, PRINCE2, CSP-SM (or similar project management certification) is required

  • IIBA, PMI-PBA (or similar business analyst certification) strongly preferred

  • 10+ years of direct project management experience with expertise in waterfall and agile methodologies

  • 5+ years of experience directly managing a team of 15+ direct reports in project management office

  • 5+ years of direct project management experience within digital / creative / media / advertising agency

  • 5+ years of experience in business operations or a related role overseeing agency operations (including Resource Management, Contracting50/Legal, Vendor Management, and M&A functions)

  • Advanced knowledge and practical experience with project management tools (e.g. MS Project, Wrike, Workfront, Asana, JIRA, Trello, Monday, Basecamp, etc.)

  • Advanced knowledge and practical experience with process mapping / workflow design tools (e.g. Visio, LucidChart, Miro, Gliffy, Mural, etc.)
