Client Success & Operations Associate (Part-Time to Full-Time Ramp)

About the Role

We are hiring a Client Success & Operations Associate to support a high-touch, premium consulting business. This role sits at the center of our client experience and internal operations and requires a high-level of accuracy, judgment, systems thinking, and strong written communication.

This is not a task-based assistant role.

This is an ownership role for someone who understands how small details compound into big downstream consequences.

Role Structure & Timing

  • First 60 days: Part-time (approximately 20 hours/week)

  • From April onward: Full-time (40 hours/week)

  • This ramp is intentional and planned. The expectation is a transition to full-time following onboarding.

Schedule & Requirements

  • Monday–Friday, aligned with U.S. Eastern Time (8:00 AM – 5:00 PM)

  • Hubstaff time tracking is required

  • Fully remote

Compensation

  • USD $1,700–$1,900/month (full-time equivalent)

  • Part-time compensation is prorated during the onboarding period

Core Responsibilities

  • Own and manage the client journey from booking through the end of the engagement

  • Serve as the first point of contact for prospects and active clients

  • Ensure all client communication is clear, warm, precise, and brand-aligned

  • Maintain accurate data across systems (CRM, scheduling, internal trackers)

  • Execute follow-ups and sequencing without being prompted

  • Catch inconsistencies or errors before they reach leadership

  • Anticipate downstream impacts of small mistakes and address them early

  • Enforce and improve operational systems and checklists

  • Support scheduling and coordination for multiple coaches as the team grows

What This Role Requires

  • Exceptional attention to detail (sloppy writing or data entry is not acceptable)

  • Strong written English (client-facing, polished, and professional)

  • Systems thinking: ability to see how pieces connect, not just complete tasks

  • Sound judgment and the ability to prioritize without constant reassurance

  • Comfort working independently and moving quickly when needed

  • Willingness to slow down where precise nuance matters

  • Thick skin, direct communication style, and ability to read subtext

  • Accountability: this role directly impacts client trust and revenue
