Operations & Project Management Associate for Web Agency

About Envision

We’re a web development agency that builds and maintains conversion-focused storefronts on Shopify for our clients. We serve ecommerce brands by helping them design beautiful online stores, as well as maintain and optimize them over time through monthly support retainers. 

The Role

In this role you’ll work closely with the CEO, ensuring nothing slips through the cracks while helping drive projects forward across operations, client work, and internal initiatives. 

You’ll collaborate with the CEO to agree on goals and strategies, and then you’ll work with autonomy to move those objectives forward with regular check-ins. You’ll also be involved in onboarding and project management for client projects, making sure that new clients are smoothly onboarded and that projects stay on track with timeline and budget.

The ideal candidate has experience managing operations in a creative services agency, is extremely detail-oriented, and can own tasks from start to finish. If you have a sharp eye for detail, love turning ideas into action, and can manage both internal ops and external client projects, we want to hear from you!

Skills & Attributes

  • Hyper-detail-oriented and organized

  • Clear and professional communicator (both written and verbal)

  • Able to synthesize a bunch of details and notes into clear priorities and action items

  • Comfortable juggling multiple projects and priorities

  • Has experience with Agile and Waterfall methodologies

  • Has initiative and wants autonomy, eager to move objectives forward with limited supervision

  • Comfortable interacting directly with clients in a confident, professional manner

  • Fluent in English

  • Available to work during our core business hours (Monday-Friday, 9am-5pm EST)

  • Bonus: Has a good eye for basic design and UX issues

Key Responsibilities

  • Oversee our client helpdesk, ensuring tickets are assigned and addressed promptly by the appropriate team member

  • Keep our project management system organized and up-to-date

  • Develop and improve internal processes, checklists, and SOPs

  • Participate in internal and client-facing meetings, managing agendas, action items, and follow-ups

  • Handle project management for client projects, ensuring they are completed on-time and within budget

  • Manage client billing and invoicing

  • Support goal tracking and quarterly reviews

  • Own client onboarding

  • Help create and manage our content calendar

  • Help draft client proposals and estimates

  • Jump in and help with odd jobs as needed

Experience

Required:

  • Project management (2+ years, preferably creative/web projects)

  • Operations management

  • Experience in a client-facing role

  • Background in a creative services or digital agency (2+ years)

Nice to Have:

  • Experience helping run a business operating system (e.g., EOS, OKRs)

  • Familiarity with Shopify, WordPress, or similar website-building platforms

  • Experience managing the production of content marketing (e.g., blog posts, videos, and/or podcasts)

  • Background in sales or business development
